Oil States is currently looking for qualified candidates for the position of Office Administrator in Houma, Louisiana.
POSITION SUMMARY:
Under the direct supervision of the Vice President this position provides administrative and secretarial support, as well as serves as the initial contact to receive and direct calls and visitors. Administrative support includes coordination of meetings, events, etc., working on special projects, preparing/handling highly confidential and sensitive information, maintaining office supplies, and maintaining guest areas. If desired, this position also provides the opportunity to grow and provide support to a corporate legal team as it pertains to OSI-Houma's contractual agreements with vendors and clients.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
* Operate the telecommunications systems within the facility by receiving and connecting incoming telephone calls to the appropriate party.
* Manage front gate and front door access using video call system.
* Greet and direct all guests, customers, employment applicants, salespersons, and other visitors to the appropriate party.
* Sort and distribute incoming mail.
* Provide administrative support for Vice President to include organizing meetings, events, travel, etc. Also, to include organizing information, preparing reports, creating presentations, scanning, etc.
* Type and design general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
* Manage social media presence, fundraising events, community contributions/sponsorships, etc.
* Maintain/upkeep the lobby, executive conference room, and kitchen area.
* Upon receiving appropriate training, support OSI Legal with initial contract reviews for the business unit as needed.
* All other duties as assigned by supervisor.
QUALIFICATION REQUIREMENTS:
* High school diploma or equivalent education; BSBA or equivalent experience preferred.
* Prior experience in a receptionist capacity or administrative support role
* Excellent verbal and written communication skills
* Prior experience working with MS Office applications (Outlook, Word, Excel, PowerPoint, etc.)
* Ability to prioritize and manage multiple tasks in an efficient manner under general supervision.
* Ability to operate office equipment (copier, fax machine, gate/door access, etc.).
PHYSICAL REQUIREMENTS:
* Prolonged sitting.
* Walking, standing, reaching, and bending.
