The Position: Richards is now seeking an experienced, motivated, and results-oriented Order Fulfillment Specialist to join the team in Cincinnati. The ideal candidate will play a pivotal role in supporting the efficiency of our order fulfillment operations, ensuring that customer and vendor orders are processed promptly and accurately. The successful candidate will be responsible for the following: Invoicing & Order Processing
  • Accurately invoice customer orders, ensuring all financial transactions are compliant with internal processes.
  • Process vendor invoices and order acknowledgments, maintaining clear communication with vendors regarding any discrepancies.
  • Enter customer orders into the system, confirming accuracy and completeness before processing.
  • Generate and input purchase orders (POS) to vendors, following up to ensure timely delivery of products and services.
Shipping & Receiving
  • Receive incoming shipments, verify contents against purchase orders, and process the items into the inventory management system.
  • Prepare and pull items for outbound shipments, coordinating with logistics providers to ensure timely deliveries.
  • Manage the organization and storage of inventory items, ensuring accurate stock levels and timely reordering of low-stock items.
Payment & Transaction Processing
  • Process customer payments through PayTrace, ensuring compliance with payment processing protocols.
  • Assist in processing weekly check runs, ensuring payments are timely and aligned with financial policies.
Inventory & Stock Management
  • Monitor inventory levels, place orders for stock replenishment, and collaborate with the purchasing department to forecast demand.
Sales & Customer Engagement:
  • Proactively follow up on customer quotes to convert opportunities into sales, offering product recommendations and solutions to meet customer needs.
  • Engage in proactive selling efforts to promote Richards products, understanding the product catalog and assisting with customer inquiries.
Data Management & Reporting:
  • Analyze order data to track performance metrics such as fulfillment times, accuracy rates, and overall customer satisfaction.
  • Ensure all invoices and payment records are filed accurately for easy retrieval and auditing.
Qualifications Include:
  • High school diploma or equivalent
  • Additional training or certification in logistics, order management, etc. is preferred
  • Physical capability of handling up to 50 lb valve bodies with proper assistance
  • Flexibility to work overtime as necessary to meet business demands
  • Excellent verbal and written communication skills, with the ability to interact professionally with both customers and vendors
