Duties may include fielding telephone calls, receiving and directing visitors, word processing, creation of spreadsheets and presentations, and filing. Intermediate software skills, internet research abilities and strong communication skills are required. May assist with overflow work from administrative staff and fill in for similar staff as needed.ESSENTIAL DUTIES AND RESPONSIBILITIESThe essential functions or duties listed below are intended only as illustrations of the various types of work that may be performed. - Performs administrative and office support activities for department
- Assists in the development of the division enterprise budgets and projection of water and sewer rates
- Manage billing processes for Backflow, Quarterly Usage, Inspections and Installations
- Schedule Dig Safe, approved contractors and other outside vendors
- Answers customer's questions and concerns over bills, water quality, setting up final reading appointments, appointments for new construction meters, water turn activation and turn offs
- Work with and fully participate in Finance Department initiatives related the enterprise funds
- Enters requisitions for purchase orders for office items and requests from the Superintendent
- Complete payroll as directed, or when department person responsible for payroll is absent
- Attends meetings to discuss and present water and sewer rates and changes, as directed
- Makes, files and mails copies of testing to state and federal agencies
- Prepares delinquent notices and transfers to liens for unpaid bills
- Update Departments' section of Town website
- Performs similar or related work as required
QUALIFICATIONSNecessary Knowledge and Skills:
- Knowledge of standard office practices, procedures and equipment.
- Knowledge of standard account and maintenance in support of the department; ability to prepare reports and correspondence.
- Knowledge and ability to employee records management practices.
- Familiarity with pertinent state and local laws relating to departmental and town operations.
- Ability to maintain accurate and detailed records
- Ability to multitask, organize, work independently, accomplish tasks and meet deadlines despite frequent interruptions in a fast-paced environment while maintaining attention to detail.
- Ability to interact tactfully and effectively with town employees, supervisors, officials and the general public.
