Position Summary

At FedUp Foods, we value our team members and strive to create a supportive environment that enables people to do their best work. The Office Administrator serves a crucial role in maintaining this environment and our team's success by providing our plant's operations with administrative support, managing office activities, coordinating with various departments, and ensuring efficient communication within the plant.

This role also handles clerical tasks and records, maintains the breakroom and common spaces, and assists in organizing events and meetings. The person in this role connects with, and supports their colleagues. Our Wilmington plant is in start-up mode, with all hands on deck to get us operational. The Office Administration is energized by this, and gets fulfillment from jumping in where they see they can be of service, and is seen as a person that can wrangle in the chaos around them.

An ideal applicant will have a strong attention to detail, tenacity to ensure on time completion of processes and projects, be service-oriented, highly reliable and work to build recognition and appreciation into ongoing engagements with team members.

General Duties/Responsibilities
  • Maintain breakroom and common areas including light housekeeping, stocking complimentary items, making coffee, as well as assisting in keeping the non-conformance fridge stocked.
  • Assist in organizing company events, team member engagement activities, meetings, and training sessions.
  • Coordinate, plan and order food for quarterly town hall meetings as well as department meetings, training, and special events.
  • Ensure NDA and guest visitor station is stocked as well as maintain NDA records.
  • Welcome and orient guests when needed.
  • Track and maintain supplies for the office, PPE, break room, new hires, and housekeeping.
  • Manage the order request form for Amazon and Grainger placing and tracking orders.
  • Handle account management for contract services including but not limited to Cintas, Canteen, and Granger.
  • Provide support to the recruitment, orientation and onboarding process.
  • Implement and track team member employee anniversary, milestone and life events program.
  • Maintain bulletin boards in common areas.
  • Perform administrative tasks such as data entry, filing, and preparing reports.
  • Ensure compliance with company policies and procedures, as well as regulatory requirements.
Food Safety and Quality Responsibilities
  • Follow GMP policy when in the production facility and encourage your team to do the same.
  • Understand our SQF policies relating to pest control, visitors, allergen management, and cleaning and sanitation.
  • Demonstrate awareness of Management's Commitment to SQF and work towards Food Safety and Quality and help the company meet this commitment.
  • If there is a problem that involves food quality and safety, report to the Quality Assurance Manager Manager so that the CAPA (corrective action, preventative action) log may be filled out, the situation be investigated, and resolved with the goal of continuous improvement of food quality and safety.
Required Skills/Abilities
  • Proficient with Google Suite and/or Microsoft Office.
  • Ability to handle confidential information with discretion.
  • Excellent verbal and written communication skills.
  • Service-minded people-person.
  • Can-do attitude with a desire to jump right in where needed.
  • Energized by change and has the ability to support bringing order to chaos.
  • Detail-oriented, organized, and able to manage multiple projects simultaneously.
Education and Experience
  • High school diploma or GED required, associates degree preferred.
  • 2+ years of administrative experience required.
  • Must be able to pass a background check.
Work Environment/Physical Requirements
  • Onsite, full-time role in a beautifully appointed office and new manufacturing plant.
  • Ability to sit, stand, and walk for extended periods.
  • Ability to lift and carry up to 25 pounds.
  • Ability to use a computer and other office equipment.
