Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):
One year of experience where most work time is spent performing mathematical operations, and/or clerical activities related to mathematical operations.
COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):
Candidates must have a reachable score on the University at Albany Office Assistant 2 Calculations - ALBANY Exam List OR
Be a current NYS employee and have a current permanent appointment with 1 year of service as an Office Assistant 2 Calculations, or in a title eligible to transfer to Office Assistant 2 Calculations OR
Be a former NYS employee eligible for reinstatement to the title of Office Assistant 2 Calculations
May be filled from a mandatory reemployment list if one is in effect at the time of appointment.

Duties Description Office Assistants perform office support and clerical work to meet the requirements of agency programs. Such work may consist of but is not limited to data entry; math or calculations; mail, supply, and inventory-related tasks; keyboarding and other document preparation tasks; answering telephones; completing forms; assisting customers; creating or assisting in the preparation of reports, charts, graphs, and tables; and other related activities. This work is accomplished in accordance with applicable procedures, rules, regulations, and laws.
Tasks:
* Trainable in a Work Order Management System.
o Creating work orders
o Delegating tasks from work orders
o Entering timecards
* Use Microsoft Office programs; Word, Excel, Outlook, to send emails, generate documents, and modify/create spreadsheets.
* Distribute keys as assigned and document distribution and return in accordance with approved security procedures. Which includes sending out notices when keys are ready for pick up, input all keys into a key wizard software, file all key cards for appropriate tracking, etc.
* Answer and respond to phone calls, e-mails, and provide in person customer service to all inquiries and requests by Students, Faculty, and Staff at the Facilities Management Operation Center service desk; includes specific responses to Departmental calls, such as Residential life.
* Dispatch appropriate shop(s) on radio/take calls on radio from all areas on campus.
* Create work orders in the AiM system based on call-in requests and needs.
* Process all incoming work orders under Facilities Management Operations Center that come in from any overnight shifts.
* Assist as needed, with the operation and programming for the main fountain.
* Assist Shop Supervisors as needed with setting up appointments for interviews or meetings.
* Update forms, templates, and other documentation as needed and as assigned.
