Job Role Summary
This position is responsible for serving as Administrative Assistant to the Marion County Public Health Department's (MCPHD) Director of Dental Health in all dental and related matters. Performs administrative, general office/clinic and secretarial tasks. Ability to speak fluent Spanish is preferred.
Associated Job Duties
* Supports/documents translation and interpretation for Spanish speaking clients (if bilingual).
* Composes/types letters and create spreadsheets; makes and answers telephone calls; receives, documents and relays messages; programs the department voice mail; sorts/sends mail to appropriate staff, internal and external departments, clients, and agencies.
* Refers patients to MCPHD dental clinics or to outside providers for services not provided by MCPHD Dental Health.
* Assists office assistants with data entry of patient information, scheduling, patient enrollment into Medicaid, Health Advantage or other insurance programs, and with scanning/indexing of patient documentation.
* Completes mileage, tuition reimbursement, conference/CE registration/travel forms, and various other documents necessary for the operation of a large dental program.
* Demonstrates proficiency in utilizing computer programs such as Microsoft Word, Outlook, Excel, and PowerPoint.
* Takes and prepares meeting minutes for all meetings presented by the Dental Director.
* Maintains a current, organized and accurate electronic filing system of all departmental/organizational related records.
* Maintains a current, organized and accurate general/clinical supply inventory system.
* Enters and processes supply orders in SAP and other vendor software.
* May be assigned to work in a clinic occasionally, depending on staffing needs.

* Participates in a minimum of two H.O.P.E. events totaling a minimum of eight (8) hours annually; occasional evenings or weekends may be required to assist with health fairs or other departmental/organizational activities and special events.
* Participates in public health emergency preparedness exercises and in the response to public health emergencies, as directed; must complete NIMS training 100 and 700.
* Reads, has knowledge of and complies with all Personnel Policies and Procedures as established by Health and Hospital Corporation.
* Reads, acknowledges and complies with dental department quality assurance/improvement policies and procedures in accordance with the ADA, OSHA, CDC, State of Indiana and MCPHD guidelines, regulations or statutes.
* Other duties as assigned.
Qualifications
* Specialized education/training in dentistry
* 1 year of previous experience
Licenses/Certifications Required
* Current CPR Certification
* Valid Indiana drivers' license and reliable transportation
* Fluent in written and spoken Spanish is preferred.

* Knowledge in utilizing computer programs such as Microsoft Word, Outlook, Excel, and PowerPoint.
* Knowledge of dentistry and dental assisting
