DescriptionJOB SUMMARY In accordance with Mt. Washington Pediatric Hospital's Vision, Mission and Values, the office assistant will perform a variety of assigned clerical duties essential to the daily operations of MWPRCS site. These duties may include : pre-registrations, registering patients presenting for services, ensuring that all outpatients are authorized to receive care and services at MWPCRS to include Rogers Ave. ESSENTIAL FUNCTIONS OF POSITION
- Primary duties involve follow-up appointment scheduling, patient registration, and other related functions.
- These duties are performed accurately and consistently, while maintaining an extremely high level of customer friendly satisfaction.
- Facilitates patient flow, including activities such as: patient identification, identification of accurate demographic and insurance information.
- Collection of required signatures and documents.
- Collects co-payments and other patient liabilities.
- Prepare list one week ahead of all scheduled patient appointments.
- Verify benefits by calling insurance companies and speaking to a customer service representative.
- Determining if authorization is needed.
- Preparing necessary paperwork to be put together
- Sending into the precertification department to obtain the necessary authorization.
- Documenting in detail notes into meditech as to what exactly the patient is covered for and name of the authorization specialist from the insurance company, authorizing the benefits.
- Linking the notes to the appointment, family insurance and primary physician with out patient services
- Filling out custom screens and putting in printable comments so that the registrar will know what is to be collected, such as co pay, referral.
- Notifying family of services that are not covered and setting up financial arrangements for payment at time of service.
- Advising family of our financial assistance program and sending out the necessary forms to be completed and returned before scheduled appointment to see if they family qualifies for financial assistance.
- Responsible for managing financial payment, insurance authorization and documentation, and durable medical equipment purchases.
- Duties are critical for initial and uninterrupted ongoing outpatient care and to the facilities' economic performance.
- Order and maintain clinical and administrative supplies
- Assisting with medical record operations on a daily basis
POSITION REQUIREMENTS
- Educational Requirements o High School Diploma •Licensure, Certification and Registration o None •Work Orientation and Experience o Three years experience working in the insurance/health care field preferred. Experienced with file management and payment services preferred. •Knowledge, Skills and Abilities •Personal computer knowledge and ability. General knowledge of medical terminology, Meditech, Managed Care, and ICD-9 and CPT coding skills preferred. •Effective communication skills ( speaking, listening, questioning, and managing difficult situations). •Business writing skills. •Ability to exhibit poise and professional behavior according to the policies of MWPH •Other Requirements Specific to Assigned Area

INTERPERSONAL RELATIONSHIPS
- Regular direct contact with primary care physicians. Contact with patient physicians, their staff, and other providers (i.e., therapy, and psychology), and payers such as benefits personnel and case managers. Frequent phone contact with guardian/family.
TOOLS/EQUIPMENT USED •Computer, photocopier, fax machine, scanner, multi-line telephone PHYSICAL ENVIRONMENT/WORKING CONDITIONS
- General office setting within a health care facility. Minimal risk of exposure to body fluids, infectious waste or blood-borne diseases.
