Currently we have one full-time Office Assistant I/II vacancy in our Fire department and one in our Public Works department. This recruitment will establish an Office Assistant I/II City-wide eligibility list for future full-time, part-time and limited-term vacancies in this classification that may occur over the next 12-month period. Salary Ranges Office Assistant I $48,313.42 - $58,725.02/annually Office Assistant II $54,160.90 - $65,832.64/annually Working for the City of Vacaville comes with an excellent benefits package including:

**Please see our generous benefits package here** Under general supervision the Office Assistant provides a variety of routine to complex clerical support to various City offices, which may include receptionist duties, typing, word processing, data entry, record keeping and filing. Please see below for sample job duties and responsibilities for the current vacancies: Fire Department
  • Provide customer service support by answering phone inquiries and assisting visitors at the front desk
  • Manage the intake and processing of fire department plans
  • Handle payments and transactions related to plans and fire permits
  • Assist with a variety of departmental projects and tasks as needed
  • Respond to public inquiries, including processing public records requests
  • Distribute mail and packages to all fire stations
  • Assist with filing and processing training paperwork
  • Help at department public education events
Public Works
  • Customer service support by answering phone inquiries and assisting visitor at the front desk
  • Assist with website updates for department
  • Administrative support for the Public Works CIP Division including: assisting with Capital Improvement Project documents, bid documents, various memos and correspondence
  • Invoice entry and purchasing card reconciliation
  • Filing and Mail Distribution
  • Assist with departmental projects and tasks as needed

ABOUT YOUThe ideal candidate will have excellent customer service skills in order to serve the public, both in person and on the phone, as well as strong oral and written communication skills. Minimum Qualifications:Any combination of experience and education that would provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be: Office Assistant I Education: The equivalent to a high school diploma. Experience: One year of general office experience, including typing, computer usage and public contact. Office Assistant II Education: The equivalent to a high school diploma. Experience: Two years of work experience equivalent to an Office Assistant I in the City of Vacaville. Some other desirable knowledge, skills and abilities include, but are not limited to:
  • Ability to multi-task
  • Ability to be well organized
  • Excellent interpersonal skills
  • Prior experience using Excel and Word
  • Ability to maintain effective working relationships

Part-time positions are at-will, are not eligible for health or retirement benefits (including CalPERS membership), and do not accrue leave time with the exception of state mandated sick leave (40 hours per year). Part-time positions are not covered by Social Security and are not eligible for the City of Vacaville's retirement plan through CalPERS and are therefore required to make 7.5% pre-tax contributions into a qualified plan under the Omnibus Budget Reconciliation Act of 1990 (OBRA).
