Categories: Office/Clerical Support, Operations Services, Clerical Technical- CT, Full Time (90-100%) Working/Functional Title Office Assistant III Position SummaryPosition Summary: Manages and organizes department data; types, edits, and composes materials; supports the department academic programs; maintains calendars, schedules and the working structure of the office. Compiles, checks, processes and/or analyzes complex and/or specialized department information/data; independently renders decisions; interprets information. Responsibilities/Duties:
- Participate in the development and revisions of program mission, vision, goals, meetings, and ongoing program evaluation activities.
- Participate in accreditation activities.
- Provides administrative support to department faculty and staff. Organizes and assists with regularized office procedures as required.
- Organizes and processes diverse data and information including program self-assessment data, curriculum data, program operations data.
- Organizes, deploys, and monitors data gathering tools independently. This includes high-value survey tools and other critical data collection tools for use in program self-assessment processes.
- Independently performs data organization, cleaning, and preliminary analysis.
- Independently renders decisions on data organization, survey deployment scheduling, and preliminary analysis.
- Prepares reports and other materials used in committee meetings.
- Drafts proposal, standard operating procedures (SOPs), agendas, meeting minutes, and proposals related to her role within the program.
- Receives, collects and processes complex and diverse information and independently renders decisions in order to contribute to information bases or request specific actions.
- Prepares and/or assists in developing and compiling analytical reports.
- Researches and collects data in order to assist in the preparation of departmental research projects.
- Prepares and/or maintains database, spreadsheet, departmental documents and/or materials.
- Establishes and maintains departmental files.
- Edits and/or prepares documents to provide instrumental materials to the functioning of the Department and/or individual projects.
- Supports department committee functions through drafting agendas, compiling data, and drafting minutes and other related documents.
- Supports the department academic programs including faculty support, exam proctoring, communicating with students, and other assisting with curriculum data management.
- Other duties as assigned.
Minimum Requirements Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database and/or desktop publishing software; presentation and webpage software; typing and filing; maintaining accounting ledgers; may require knowledge of technical or medical terminology and/or technical knowledge or training related to the field of employment; or an equivalent combination of education and experience. Desired QualificationsPreferred Qualifications:
- Proficiency in Microsoft Office Excel and other data analysis/management programs
- Strong interpersonal abilities with excellent verbal and written communication skills to effectively communicate with students, staff, faculty, administrators, and the public.
- Self-motivated with refined organizational skills.
