Funding Source Functions and Responsibilities Job Summary Under the supervision of the Director of Facilities Management or designee, the Office Assistant is responsible for providing direct administrative support relating to the overall management of the Faculties Management department. Supervisory Role Oral and written instructions are received from the Director of Facilities Management or designee. The Office Assistant may supervise support staff and student workers. Duties & Responsibilities 1. Oversee office functions and activities for the general area. 2. Prepare and type memos, letters and required reports. 3. Promptly and accurately accept and relay telephone messages. 4. Screen individuals coming into the office and direct to the appropriate staff person. 5. Maintain inventory of office supplies and equipment and determine need for repair or replacement. 6. Prepare, process and file purchase requisitions and invoices for the area. 7. Establish and maintain and accurate filing system. 8. Maintain strict confidentiality and security of student, staff and client records. 9. Prepare routine, special and ancillary reports as required. 10. Perform other related duties as required. Physical RequirementsAdditional Requirements Minimum Qualifications Experience (number of years), Knowledge and/or Abilities 1. High School diploma or equivalent. 2. Detail oriented with the ability to work under pressure and prioritize assignments. 3. Working knowledge of computer applications. 4. Excellent interpersonal skills. 5. Ability to communicate effectively, orally and in writing. 6. Ability to work in a multi-cultural environment. Education Requirements High School Diploma Licenses and Certifications (including e.g., CPR, first aid, driver's license, etc.) Preferred Qualifications Experience (number of years), Knowledge and/or Abilities 1. Associate's degree in Business Administration or related area. 2. One or more years experience in a higher education institution. 3. Demonstrated knowledge of computerized record maintenance and management, preferably the Banner System. 4. Demonstrated knowledge of general administrative practices and procedures. 5.
