About California Autism Center The California Autism Center and Learning Group (CAC) was founded in 2014 with the intent to bring client-focused center-based ABA services to the Central Valley. Data supports a center-based model as the most effective method for treating children diagnosed with autism spectrum disorder. Similar to in-home services, the center-based model still allows for individual treatment plans in addition to supplemental home and community-based services as needed. This model also provides more learning opportunities for clients and increased support for staff. We are local company located in the heart of the Central Valley. The Role As the Office Assistant, you'll play an integral role in supporting our clinical team at the treatment center. The Office Assistant is expected to be flexible and adaptable while working in a fast-paced environment, and able to make sound judgments and execute tasks with minimal direction. The Office Assistant is a valuable resource to the treatment center and administrative team by proactively collaborating with various departments to meet operational needs. This full-time, hourly, non-exempt position reports directly to the Office Manager. The Office Assistant also receives coaching and support from the Treatment Center Director, Operations Manager and Director of Operations. This position observes office hours Monday through Friday with regular shifts taking place from 7am-3:30pm or 10am-6:30pm based on location; no remote work is available for this position. Key Responsibilities:
  • Implement and represent company policies and procedures accurately and enthusiastically
  • Coordinate division of workload with other front office staff
  • Support the Office Manager, Treatment Center Director, and clinical supervisors in all administrative capacities
  • Contribute to a positive, safe, and ethical work environment
  • General administrative work such as answering and routing phone calls, scanning, emailing, copying, data entry, and filing, while delivering high-quality customer service
  • Act as a liaison between the treatment center and the administrative office assisting with billing, marketing, member services and human resources functions
  • Accurately perform a high volume of schedule updates and communicate changes effectively to the team; assign and delegate various tasks to technicians to ensure a clean, safe and organized work environment
  • Review daily schedules and reports for billing compliance
  • Maintain staff and client rosters and associated documentation/credentials
  • Facilities management to include opening/closing duties, coordinating with vendors, ensuring proper functioning of all equipment, performing light janitorial duties, and ensuring overall safety/compliance of the facility in accordance with fire/OSHA regulations
  • Financial duties such as processing payments and purchasing
  • Assist in overseeing the center calendar and complete coordination of center events and special projects
  • Provide tours to visitors and prospective employees
  • Assist with supply management, organization and purchasing
  • Other duties as assigned
What you Bring:
  • A high school diploma or equivalent
  • Minimum of one year of previous administrative work
  • Ability to pass a criminal background check and fingerprinting
  • Reliable transportation with proof of auto insurance and a valid driver's license
  • Proficiency in Microsoft Office suite
  • Excellent verbal and written communication skills
