Job Description:

The Office Assistant is responsible for the scanning, posting and deposit of AR payments, posting other financial transactions and preparing daily deposits, along with completing the daily bank reconciliation for all accounts. The Office Assistant will also work with AP to scan related documents into BisTrack. This role requires strong organizational and communication skills, as well as proficiency in using office software and Bistrack, as well as the ability to work independently and as part of the team. Requirements ESSENTIAL DUTIES:

  • Adhere to all relevant company procedures and policies
  • Closeout and reconcile the Roxboro cash drawers from previous business day
  • Prepare daily bank deposit from cash drawer sales
  • Post AR payments on the customer account, scan payment and remittance information to the account; includes account payments deposited in other branches
  • Capture remote deposits for AR payments received in Roxboro
  • Post deposits from other branches into accounting software for bank reconciliation
  • Reconcile all bank accounts daily and submit to CFO
  • Scan documents into Bistrack as needed (AP invoices, yard tickets, receiving paperwork, credit notes, work orders and delivery tickets, etc)
  • Post and deposit payments received on Notes Receivable and notify Credit to update the payment in QuickBooks.
  • Research, verify and issue customer refund checks as requested
  • Take deposits to the bank daily
  • Pick up mail from post office as needed
  • Take outgoing mail to post office at day end
  • Assist with monthly customer statements as needed
  • Maintain a positive relationship with all employees, customers, vendors, and delivery personnel
  • Complete special projects at the direction of the CFO or AP Specialist
  • Perform any other duties, responsibilities or tasks as assigned
