DescriptionLanguage Fundamentals Inc is looking for a competent Office Assistant to join our Fishkill office team. In this role you will play a critical role in keeping our office a positive, welcoming, and productive environment. Our ideal candidate will help with the organization and running of the daily administrative operations of the company. Someone who is a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion.Responsibilities:
- Oversee the function of the office, providing continuous support to the staff and administration
- Act as a personal assistant to the office manager and executive staff
- Utilize Microsoft Office to assist with data entry tasks and record keeping
- Communicate effectively and timely through emails and phone calls
- Maintain spreadsheets and follow up with respective parties to ensure correct paperwork and clearances are received
- Handle administrative tasks specific to speech therapy office, such as managing employee records
- Human Resources and back-office tasks such as employee onboarding and profile maintenance
- Create and update records ensuring accuracy and validity of information
- Cross check timesheets with EMR entries
- Assist with monthly reports and invoices
- Manage financial transactions/credit charges
- Manage calendars, schedule appointments, and send meeting invites to attendees
- Perform various clerical duties, including filing documents, data entry, photocopying, and scanning
- Perform receptionist duties when needed
- Assist with social media tasks as needed

Requirements- High school diploma or equivalent required; additional education or certification in office administration is a plus.- Proven experience as a back-office assistant, office assistant, or in another relevant administrative role is preferred.- Strong organizational skills with the ability to multitask and prioritize tasks effectively.- Excellent communication skills, both verbal and written.- Proficient in using computer software programs such as Microsoft Office Suite (Word, Excel, PowerPoint, TEAMS) and QuickBooks.- Ability to maintain confidentiality and handle sensitive information with professionalism.- Attention to detail and accuracy in performing clerical tasks.- Strong problem-solving skills and ability to work independently or as part of a team.- Familiarity with social media platforms
