This is an on-site position, the current shift is Monday-Friday from 7 AM to 3:30 PM and the pay is $16/hr. with benefits (below). The address of this location is 6130 E. 38th Street, Indianapolis, IN 46226.
With overall direction from the Director, Plant Operations, the Commercial Services (CS) Office Assistant provides clerical and administrative assistance to the operations and leadership teams and other duties as assigned to help facilitate the organizational effectiveness and efficiency of the manufacturing facility. This role is an administrative position that includes communication and coordination with internal department leaders and external stakeholders. Additional duties involve administrative support for departmental team members including staff monitoring and reporting, vendor relations, building security, communication from staff or customers, event planning, and special projects.
Example Duties and Activities
Provides administrative support to Managers, Supervisors, and any other requesting departments at the location(s). Disseminates information, maintains employee filing system(s), and performs general administrative support work.
Screens incoming calls/correspondence/voicemails from employees and external customers and directs them to the appropriate party. Collects and distributes daily mail and packages.
Ensures proper security measures are in place for employees entering and exiting the building(s) as well as any visitors and/or external vendors around the building.
Performs data entry into various business systems for safety, attendance, maintenance, etc.
Follows all quality system and safety protocols by participating in and leading (when necessary) safety training, keeping work areas clean and organized, and contributing to established safety goals and data entry/collection.
Ensures data entering and reporting for workplace accidents and anything safety-related.
Assists leadership and support team(s) as needed with recruiting, onboarding, offboarding, and training procedures (badge access, photos, locker assignments, etc.).
Coordinates and leads building tours as needed as well as any conference room support.
Ensures accuracy and integrity of organizational data within the HRIS. Creates standard and ad hoc queries or reports.
Provides manufacturing process-related support and duties as needed.
Maintains departmental relationships to coordinate any needed work orders - security, housekeeping, maintenance, etc.

Willingness to occasionally work a flexible schedule beyond normal business hours.
Is willing to conduct local travel to external stakeholder locations.
