Job Type Part-time Description Work Schedule Monday - Friday 9 a.m. to 3 p.m. (30 minute lunch at 11:30 a.m.) *Mandatory Election Schedule* 21 days prior to election: Monday - Friday 8 a.m. to 4 p.m. Work Saturday voting (if any) Day prior to election day (Monday), 8 a.m. until released by County Clerk Election Day, 6:30 a.m. until released by County Clerk Days following Election Day, 8 a.m. to 4:30 p.m. (possibility of working later) POSITION SUMMARY: Under the supervision of the Pottawatomie County Clerk, the Office Assistant is a permanent part-time, non-exempt position under FLSA. This position provides clerical support for the office of the County Clerk. Duties may vary based on departmental needs and includes basic clerical skills such as typing, filing, and customer service. ESSENTIAL FUNCTIONS (required):
Provides courteous and professional service for internal and external customers; Enters complete and accurate data using departmental software; Reliable and dependable attendance; Review accounts payables, real estate, and specials for accuracy; Assist in the process of deeds, affidavits and court documents; Maintain an accurate filling system for accounts payable and voter registration documents; Assist in the election preparation and voter registration; Process homestead filings and Fish and Game permits. Retrieves original documentation as requested and creates copies as needed, Researches issues to clarify information and/or correct errors, Performs other duties as assigned. KNOWLEDGE, SKILL AND ABILITY: The employee must have a thorough knowledge of computer software, and a working knowledge of mathematics, bookkeeping and elections. The employee must have excellent interpersonal, bookkeeping, office practices, and organizational and oral communication skills. The position requires the ability to read, comprehend, and write neatly and legibly. EDUCATION/TRAINING/EXPERIENCE: A high school diploma or equivalent is required. One year of similar or related experience is required. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with database management. Ability to work effectively both independently and as part of a team. Employee is expected to acquire the necessary information and skills to perform the essential job functions reasonably well within six months from the date of hire. MACHINES/EQUIPMENT USED: Personal Computer and related software, 10-key, Copier, Multi-line phone, Printer, Scanner, Postage Meter PROBLEM SOLVING: The position requires the ability to read, comprehend and write. The position makes decisions about locating requested information in an efficient and prompt manner for the general public and county offices. DECISION MAKING: The work involves the performance of specific routine operations that include a few separate tasks or procedures. SUPERVISION/ACCOUNTABILITY: Works independently with occasional supervision from the Pottawatomie County Clerk, with no supervisory duties. PERSONAL RELATIONS: Attitude is very important; the employee shall maintain a good working and relations attitude with all contacts. Daily contact with the general public, co-workers, supervisory personnel and elected or appointed officials is expected. Salary Description $16.43 - $20.54 per hour DOE
