Job Type Part-timeDescriptionPOSITION SUMMARY:
  • This is a seasonal role from June - August and supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility. The Office Assistant supports the Camp Office Manager and provides customer service throughout the year.
RequirementsESSENTIAL FUNCTIONS
  • Work closely with the Office Manager to efficiently complete administrative projects and tasks including processing program registrations, financial assistance applications, collecting accounts payable, filing, data input, and producing reports.
  • Provide exceptional customer service in person as well as by phone and email.
  • Manage camp social media (Instagram & Facebook) accounts including preparing a posting schedule to highlight important events and generate community engagement.
  • Oversee the monthly mailings of camper birthday postcards.
  • Assist with the production of large scale communications and monthly newsletters to camper families and alumni.
  • Assist Asst. Camp Director with the distribution of standard program reminders to school groups and camper families.
  • Assist with the inventorying the purchasing of office supplies.
  • Contribute to organizing and participating in camp events.
  • Knows, enforces, and follows all relevant safety guidelines and adheres to policies related to boundaries with families, campers, and partners.
  • Complete required abuse risk management training. Report suspicious and inappropriate behaviors and policy violations and follow mandated abuse reporting requirements.
  • Other duties as assigned.
QUALIFICATIONS
  • Previous customer service experience including phone skills preferred.
  • Experience with computers and familiarity or willingness to learn Microsoft suite and Teams.
  • Ability to learn how to utilize registration software Camp Brain to manage camper information, produce reports, and send mass communications.
  • Ability to maintain strict confidentiality when reviewing and handling personal, medical, and financial records.
  • Welcoming and helpful manner with the ability to connect with people of diverse backgrounds.
  • Ability to multi-task, problem solve, and maintain calm in stressful situations.
  • Ability to work as part of a team for the success of the camp.
  • Must be able to handle money responsibly.
  • Must be able to complete YMCA required training as scheduled by management.
  • Maintain updated certifications of the job (CPR and First Aid/AED).
PHYSICAL REQUIREMENTS
  • Ability to stand or sit for long periods of time.
  • Ability to bend, kneel, push, and pull.
  • Ability to lift up to 25lbs.
  • Ability to speak concisely and effectively communicate needs.
  • Ability to view computer monitor for long periods of time.
  • Ability to respond to critical incidents and act swiftly in emergency situations.
