This position is in a highly visible location and the applicant will be interacting with a variety of professionals daily and will have contact with the public in person, over the phone, and in writing responding to inquiries and providing a wide variety of accurate information regarding programs, laws, rules, policies and procedures.Primary responsibilities include:
- Work alongside training coordinators providing clerical support for their various programs.
- Tracks and/or monitors certifications, contracts and/or licenses.
- Stay current and understand, explain, and apply applicable laws, rules, regulations, policies, procedures, paperwork, and terminology.
- Use computerized formats and/or graphics for forms, pamphlets, graphs, charts, tables, and create and use varied correspondence formats and compose standard business correspondence.
- Collect, count, reconcile and/or deposit fees and perform calculations for reports in accordance with set procedures.
- Perform routine, secretarial duties such as examining documents/information, determine facts, detect errors and irregularities, and take action as authorized.
- Receive and greet visitors and determine customer needs. Advise others requesting technical assistance.
- Work with other Office Associate II positions to ensure that programs and certification activities are covered during staff leave.
- Assist with other administrative duties as requested, including but not limited to mail sorting and distribution.
- Comply with the requirements of State policies, including those concerning human resource components of security protocols of agency information security and confidentiality policies for state business purposes.
Skills or knowledge required:
- Ability to perform basic secretarial and clerical duties including answering phones, using computer software programs, filing, data entry, preparing correspondences.
- Ability to provide excellent customer service and demonstrate the ability to meet deadlines and set work priorities.
- Ability to collect, count, reconcile and/or deposit fees in accordance with set procedures.
- Ability to apply to routine individual cases an explanation and interpretation of applicable rules, regulations, policies, procedures, codes, and/or documentation requirements.
- Ability to create basic graphics/illustration/publication work to produce informational materials.
- Ability to determine facts, detect errors and irregularities, and take appropriate action in accordance with established procedures.
- Knowledge of office principles, practices, and the equipment used in an office setting.
- Knowledge of computer programs dealing with graphics, illustration, and publications.
Minimum qualifications:Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, and 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures.
