Core Responsibilities:
This position will provide supportive services by performing varied clerical and administrative tasks as the primary Receptionist within the DHHS Caribou District Office. Responsibilities include, but are not limited to:
- Greeting/screening individuals coming into the office and asks questions to determine needs and refers to appropriate employee, unit or office for services;
- Receiving, routing and transferring all incoming calls and documents all walk in traffic on the electronic walk-in log;
- Troubleshooting equipment and advising others requesting technical assistance;
- Scheduling conference rooms and interview rooms;
- Issuing and tracking visitor access badges;
- Processing outgoing and incoming mail;
- Inventorying and restocking office supplies and equipment;
- Training employees providing coverage for the reception area;
- Other tasks, as assigned, that fall within the classification.
Minimum Qualifications:
To qualify, your background must include training, education, or experience in office and administrative support work that demonstrates:
- Knowledge of modern office methods and procedures;
- Ability to operate standard office equipment;
- Knowledge and application of excellent customer service standards.
The background of well-qualified candidate will demonstrate experience in the following areas:
1. Skilled in the use of standard workplace equipment and applications (MS Word, EXCEL, Outlook, SharePoint, etc.).
2. Prior experience performing a broad range of administrative duties.
3. Prior experience working with customer service which involves direct face-to-face contact with clients.
