Description
This position plays a vital role in supporting all aspects of human resources departmental operations including providing clerical and administrative support to department director as well as all functional areas of the department including talent acquisition and onboarding, payroll, benefits administration, budgeting, and employee record-keeping. The incumbent must have strong communication, organizational and time management skills to successfully perform competing and convergent demands autonomously. This incumbent is the first point of contact for employees and visitors to the department and the ability to project a positive image and interact with people from diverse backgrounds is essential to success in this role.
Serves as the first point of contact to employees and visitors to the department
Coordinates special projects including conducting, researching and preparing reports for department director
Assists with the talent acquisition process including internal and external applicants with questions and resolving issues, participating in new employee orientation, processing background check invoices and payments, and assisting with processing I-9s and other talent acquisition activities
Processes employee and dependent fee waivers.
Assists with maintaining the human resources webpage by keeping up to date and communicating with appropriate parties as needed.
Responds to unemployment inquiries
Assists director in immigration follow up matters
Processes E-Verify for students and employees
Assists payroll coordinator with new employee paperwork, i.e. personnel data form, hire/re-hire form, W-2, and other related paperwork
Sets up training in K@TE and tracking participation rates.
Answers the Human Resource main phone line and greet all visitors, vendors, employees, and job candidates. Personally helps the individual, transfers calls, and/or directs the person to the appropriate person for assistance.
Distributes the mail and sends out bulk mailings.
Maintains bill payments for the UTM Bursars office in DASH (Oracle). (Collections, Process Fee waiver payments to other schools, etc.)
Maintains human resources, monthly ledgers, procurement card, subscription/licenses billing and travel for the HR office, temporary employees/students, maintain office supplies in the form of ordering, and processing invoices for background checks from Truescreen. Submits transfer vouchers to recover the cost of background checks from some accounts.
Maintains office supplies in the form of ordering, receiving, and processing bills.
Ensures that all PD's, employee's records, and any other paperwork is scanned into DASH (Oracle) to maintain employees' records. Provide employee records in response to appropriate requests
Assists benefits specialist with Open Enrollment for Benefits
Minimum Qualifications
Typically requires a high school diploma and three years of relevant experience, or an equivalent combination of education, training, and experience.
Knowledge and performance of office skills i.e. Word, Excel and PowerPoint.
Ability to learn an enterprise system, DASH (Oracle) and Banner. Ability to learn and perform departmental budgetary items. Oral and written communication skills.
