Office Coordinator

Our client, a small investment firm in Manhattan, with offices in Philadelphia and Los Angeles is seeking an Office Coordinator to join their team.

This role is onsite Monday through Friday, and work from home on Friday.

Responsibilities

  • Receive visitors at the Front Desk and provide a positive experience; greet, direct and announce them appropriately.

  • Coordinate visitor arrivals by reserving/preparing conference rooms, setting up refreshments as needed and following the building security procedures.

  • Assist with in-house catered events (e.g. set-up and clearing away).

  • Managing inventory and placing orders for all office supplies, including food and beverage, paper goods, pantry and cleaning supplies.

  • Admin support including calendar management, travel and expenses (Concur), meeting coordination, database management and ad hoc projects as needed.

  • Proactively manage and flag potential calendar/travel conflicts

  • Desire for role to grow over time

  • Function as “lead admin” for team with relationship to specific portfolio companies and develop strong working relationship with port co. execs.

  • Collaborate with other administrative assistants, coordinators, management complete tasks, find solutions, and support business goals.

Qualifications

  • Ideal candidates have at least 2 years experience in a Private Equity/Venture

  • Capital/Hedge Funds/Financial Services setting.

  • Ability to independently prioritize and execute multiple complex tasks and projects in a fast-paced, detail-oriented environment.

  • Must be flexible and able to work on different responsibilities each day.

  • Must be both a team player and able to work autonomously.

  • Must possess personal tact and good judgment.

  • Outstanding verbal and written communication skills.

  • Strong time management and organizational skills.
