The Office Coordinator will manage the communication, organization and logistics for the Assistant Vice Chancellor for Student Success, Career Services and Maverick Advising Center at the University of Nebraska at Omaha (UNO). This position will serve as the frontline staff member for the Office Career Services and the Maverick Advising Center. This position will work in support of the Assistant Vice Chancellor for Student Success within the Division of Institutional Effectiveness and Student Success (IESS). Under the supervision of the Assistant Vice Chancellor for Student Success, this position will serve as the point person for office operations and space management, serving as the first point of contact for the office. This position will be trained in multiple UNO systems (ie. Handshake, MavLink, SAP, and MavCONNECT) to support career and advising operations. As a leader in operations for the sub-division, the coordinator will be in charge of overall operational efficiency, service quality and process initiatives.

Job Duties

Responsibility Area: Operations Coordination and Development Duties:

* Reviews quality of process and office efficiency quarterly with the AVC and leadership team

* Leads process improvement projects in the office

* Coordinates office/employee engagement activities for the sub-division

* Assists teams in coordination and support, specifically with supporting the CliftonStrengths for Students platform and Maverick Student Employment

* User support lead for assisting students, staff, faculty, and employers assistance in using career and advising systems.

Percentage Of Time 25 Essential Function: Yes Responsibility Area: Administration Support Duties:

* Organize and maintain the Assistant Vice Chancellor for Student Success's calendar

* Plan administrative meeting logistics and space configurations as needed

* Ensure equipment is working for all team members

* Provide staff meeting support, Teams support, sub-division leadership team support, and shared drive support

* Provides administrative support for academic advising and career related projects - advisor assignments, advising workflows, etc.

* Budget representative for the sub-division, working with division budget manager on reconciliations and office supply orders

Percentage Of Time 30 Essential Function: Yes Responsibility Area: Office Management and Customer Service Duties:

* Manage quality assurance for the office and running reports as needed

* Serve as main office point of contact by managing the office phone, email, mail and answering all questions.

* Coordinate and prepare for office visitors, providing all necessary information to visitors

* Manage upkeep and maintenance of office needs and track inventory of technology and swag

* Identify and purchase office equipment and other office needs

* Develop and maintain a clear understanding of and expectation for professional customer service by keeping Student Success sub-division updated on needs and trends in higher education

* Develop relationship with advising offices across campus

* Proficient in SIS and SSMS technology use with the ability to remove advising holds, schedule and provide advising guidance

* Coordinate and reserve space as needed for office events
