GENERAL DESCRIPTION OF POSITION

The Office Coordinator is an integral member of the Mayor's office staff. The Office Coordinator plays a key role in the day-to-day operations of the Rogers City Hall and works collaboratively with the Assistant to the Mayor, City Clerk's Office, and other staff to ensure they meet the principles and objectives of the City of Rogers.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Initial contact for the Mayor's office and the entire City Hall Building; providing information and assistance; answering multiple phone lines and evaluating or addressing any questions, complaints or concerns from the general public or redirecting them to the appropriate person(s) or department for assistance.

2. Greet and assist incoming public by promoting a positive public image and providing excellent customer service. Capable of using judgment and tact to direct visitors and callers to the appropriate division, county office, state agency, business, or individual.

3. Provide good customer service to both internal and external customers, maintain positive and effective working relationships with other City employees (especially members of his or her own team), and have regular and reliable attendance that is non-disruptive.

4. Maintain various storage areas in a neat and organized manner.

5. Accept incoming deliveries/packages for the building and ensure they are delivered in a timely manner to the appropriate parties, sort and distribute mail, and process supply orders from various departments.

6. Maintain a current knowledge of City projects, services, issues, and community events to provide information to callers and visitors. Examples include City Council or other board/commission agenda information, and City records from citizens, staff, and elected officials, and city procedures.

7. Compose and type letters, memoranda, correspondence, proclamations, certificates, flyers and other materials for Mayor's Office or other departments requesting assistance.

8. Maintain a reservation system on City Hall calendar for vehicles that various departments utilize for travel.

9. Maintain, input and scan city credit card receipts and invoices for the Administration Department; balance the accounts monthly.

10. Review website for outdated information and make recommendations to ensure the site meets the needs of the public.

11. Support the Mayor's Assistant in daily functions and special projects. Handle responsibilities for the Mayor's Assistant in their absence.

12. Issue garage sale permits, peddler's permits, and accept alcohol sales tax payments.

13. Perform other administrative and clerical duties as assigned.

14. Support staff in the Mayor's office with daily functions and special projects. Assist with some responsibilities for the Mayor's Office staff in their absence.

15. Perform any other related duties as required or assigned.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION AND EXPERIENCE

High school or GED, plus specialized schooling and/or on the job education in a specific skill area; e.g. data processing, clerical/administrative, equipment operation, etc, plus 4 years related experience and/or training, or equivalent combination of education and experience.

COMMUNICATION SKILLS

Ability to read a limited number of words and recognize similarities and differences between words and between series of numbers; ability to write and speak simple sentences as a means for basic communication. ability to read and understand simple instructions, short correspondence, notes, letters and memos; ability to write simple correspondence. ability to read and understand documents such as policy manuals, safety rules, operating and maintenance instructions, and procedure manuals; ability to write routine reports and correspondence. ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts such as fractions, ratios, and proportions to practical situations.

CRITICAL THINKING SKILLS

Ability to solve practical problems and deal with a variety of known variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, or diagram formats.
