The anticipated hiring range for this position is $23.00 to $26.00 per hour. Hiring offers will be determined based on the final candidate's qualifications and experience. POSITION SUMMARY

The Office Coordinator will be responsible for providing administrative support to the General Manager and Administration Offices of the Culinary Institute of America's (CIA's) Greystone campus.

ESSENTIAL RESPONSIBILITIES

* Interacts with all faculty, staff, students and visitors to the administrative office in a knowledgeable and professional manner.

* Manages the cash-handling and bank deposits for Greystone on a weekly basis.

* Manages all vendors accounts payable and the purchase-order system, including but not limited to submitting all Greystone invoices for payment and maintaining the correct budget balances.

* Answers all incoming calls in a helpful and professional manner, directing calls to appropriate parties.

* Maintains and distributes the Greystone campus radio and telephone directory.

* Assists with correspondence, meeting scheduling, coordination and calendars.

* Takes notes during business meetings, transcribes into professional business format, and distributes to involved parties within one business day.

* Maintains all Administration Office equipment, including copy machine, printers, fax, postage meter, etc.

* Maintains cleanliness and orderliness of work area, including Administration Conference Room.

* Makes room reservations using the various campus calendars through CIA's room scheduling system as required. Provides approval of all scheduling for the Administration Conference Room.

* Conducts onboarding of new employees and assists with new hire paperwork.

* Assists Earn and Learn students as required with onboarding, general inquiries, etc.

* Assists management team members with resolving time clocks issues, training users and communicating regarding issues as required. Follows up on outstanding time clock approvals as necessary.

* Performs building tours from time to time as requested by the General Manager. Maintains and provides current information for guests regarding local attractions including wineries, restaurants, lodging, etc.

* Orders and maintains office supplies for the administrative offices and new employees.

* Handles, sorts and distributes mail to all departments.

* Completes special projects as required.

* Any and all other duties as assigned.

REQUIRED QUALIFICATIONS

Education:

* High School Diploma or GED required.

Experience:

* Minimum two (2) years of work experience providing administrative support in an educational, non-profit, customer service or hospitality environment.

PREFERRED QUALIFICATIONS

* Bilingual in Spanish/English.

* Associates degree.

REQUIRED SKILLS

* Excellent verbal and written skills, including the ability to format and type business documents.

* Demonstrated ability to show a high level of service responsiveness to internal and external customers and effective partnership with campus colleagues, as well as the ability to determine when situations require escalation or may be handled independently.

* Ability to use sound judgment and discretion in handling sensitive student and employee issues with confidentiality and discretion.

* Ability to multi-task and prioritize duties; with strong attention to details.

* Ability to work cohesively with other departments as part of a team.

* Computer skills, including MS Office suite products, i.e. Word, Excel, PowerPoint.

WORKING CONDITIONS

* Regular work may require standing, lifting, bending and stretching.

* Ability to lift and carry up to 25 pounds on a regular basis.

* Regular work requires the use of a computer, sometimes in excess of eight (8) hours per day.

* Must be able to occasionally travel to the CIA's Copia location in Napa as needed.
