Join the Department of Internal Medicine at ETSU's Quillen College of Medicine as an Office Coordinator, a pivotal role that supports the smooth operation of our academic department. In this dynamic position, you will be instrumental in managing a variety of administrative tasks, including preparing and renewing academic appointments for our volunteer faculty, maintaining essential department records, and expertly coordinating the complex calendar of the department Chair.
You will work closely with department leadership to facilitate a successful annual review process for our diverse faculty, ensuring that all necessary arrangements are in place. Your responsibilities will include scheduling meetings, coordinating travel for faculty, and managing logistics for lecture speakers and reservations. As the departmental timekeeper, you will play a key role in maintaining schedules and committee listings.
In addition to your administrative duties, you will serve as the first point of contact for visitors to the department, handling phone inquiries and managing the departmental email inbox to ensure timely responses and appropriate routing of inquiries. Knowledge, Skills and Abilities
* Knowledge of medical education terminology.
* Knowledge of office procedures, record-keeping, and other administrative processes. specific to the medical education field.
* Knowledge of university policies and procedures.
* Knowledge of technical programs such as Microsoft Suite, Watermark, Banner/Voyager, etc.
* Skilled in verbal and written communication to interact with students, faculty, and staff.
* Ability to organize and prioritize tasks efficiently, manage multiple responsibilities, and meet deadlines in a fastpaced academic setting.
* Ability to adapt to changes, such as shifts in schedules, policies, or office procedures.
* Ability to work independently and prioritize daily tasks and personal schedules.
* Ability to remain organized and maintain meticulous records.
* Ability to provide excellent customer service to students, faculty, and staff.
* Ability to remain confidential when dealing with sensitive medical and academic information.
* Ability to work collaboratively with diverse groups of people
Required Qualifications
* Associate's degree
OR
* High School Diploma or GED with three (3) years of administrative experience
OR
* An equivalent combination of education and experience
Preferred Qualifications
* Four (4) years experience in a medical education environment.
Salary $38,240
