BASIC FUNCTION:
Salve Regina University seeks an Office Coordinator for Student Academic Success Services (SASS), which include Student Accessibility Services (SAS) and the tutoring and academic support programs that fall under the umbrella of the Academic Center for Excellence (ACE). ACE is home to Academic Coaching, Subject Tutoring, the Writing Center and the Ascension program. Our welcoming and vibrant centers are busy throughout the academic year as we aim to support undergraduates throughout their academic career. The Office Coordinator will be an integral contributor to the ACE team by supporting the daily operations of our centers, coordinating reception and administrative support for the SASS team, and managing our centers marketing and communication. This is a renewable 9-month academic year position, which typically lasts from the beginning of September to mid to late May. The contract may be extended for part or all of the summer when funding is available.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
* Serve as a main point of contact for general office, phone, e-mail, and social media inquiries, responding to requests and triaging to appropriate team members and colleagues
* Collaborate with SASS team members to create a welcoming space for students and other stakeholders both in person and virtually
* Provide oversight for key administrative functions (technical support, supplies or facilities requests, purchasing/receipt management, SAS exam collection and distribution, Early Progress Reports communications, room reservations, etc.)
* Serve as point person for the team with colleagues in appropriate offices (IT, Facilities, Registrar, Academic Affairs, etc.)
* Assist with digital management needs across various platforms (maintain appointment records and other data in TracCloud, managing approvals in Teams, generating reports and forms, supporting assessment, 25live reservations, etc.)
* Supervise and train work-study reception students; support ACE coordinators in training and supervising tutors working reception shifts at the front desk
* Collaborate with SASS team members to design and deliver a marketing plan; ensure website and Campus pages are regularly updated; maintain social media sites
* Proactively collaborate with coordinators to identify needs and support the planning, organizing and executing of ACE and SAS programs and events (creating a timeline for execution: fliers, social media outreach, facilities, food, registrations in TracCloud)
* Participate in team trainings, events, and programming as appropriate
* Meets departmental and college-wide deadlines while delivering a quality work product.
* Represent the department and liaise with other administrative coordinators across campus
* Support the Executive Director with other duties as assigned
Requirements:
Required:
* High School Diploma or GED with 2-3 years of relevant customer service, office coordination, project management, or other relevant experience
* Demonstrated experience providing a high level of customer service especially in dealing with high stress situations and individuals
* Capacity to learn and use multiple technological platforms and software
* Proficiency in Microsoft Word, Excel, PowerPoint, Adobe
* Excellent communication skills with the ability to communicate effectively with diverse populations of students, families, faculty, staff, and administrators
* Enthusiasm for connecting with diverse audiences
* Ability to uphold confidentiality
* A genuine commitment to student success and a commitment to equitable access to resources and communities of support for all students
Preferred:
* Bachelor's degree
* Experience in a higher education setting
* Advanced skills in Microsoft Excel and Canva
* Demonstrated expertise within a high-volume office setting with multiple stakeholders and team members
* Understanding of and commitment to Salve Regina's Mercy, Catholic tradition and mission
