This position will coordinate and distribute tasks to the multi-departmental secretary & student worker within the academic area. ESSENTIAL FUNCTIONS:
Manage office operations for three academic programs within Fine & Performing ArtsServe as a contact point & provide customer service in the department office for students and visitors Answer calls & emails and provide basic information about the departmentTrack, maintain & reconcile the department/program budgetsReconcile multiple VISA accounts every monthAssist department chair & program coordinators with course and classroom schedulesProcess University paperwork including direct pay vouchers, travel vouchers, purchase requisitions, etc.Process department load credit reports in timely manner to meet the dean's deadlineMaintain confidential records and filesReceive, sort, and distribute mailSchedule building rooms/events in ASTRAAssist faculty student supervisors in posting student job openings/sending notices through NeoGov/hiring through EPAFs.Supervise student employeeApprove student timesheets using WebTime Entry after the faculty supervisor acknowledges the timesheetProvide basic technical office equipment (printers) assistance to facultyAssist department program, offices, and deans, as neededSubmit work orders for the Fine Arts & Fire Arts buildings, along with vehicle reservationsPerform other duties as assignedREQUIREMENTS:Education: High school diplomaExperience: Computer experience in Microsoft Office, including Word, Excel, and Teams; experience in budgets, financial information, and spreadsheets; at least one year of experience working in an office environmentSkills: Accuracy in spelling and grammar; good customer service skills; good communication skills; good organizational skills; ability to multi-task and delegate work; flexibilityWORKING CONDITIONS: This position will work in an office environment from the hours of 8:00 a.m. to 5:00 p.m. with a one-hour lunch break.SUPERVISORY RESPONSIBILITIES: The Office Manager is expected to effectively supervise student employees and be able to distribute work to multi-departmental secretary.
