Job Description:
The Church of the Resurrection, located in Ellicott City, Maryland, seeks candidates for an Office Manager. The Office Manager provides comprehensive support for the oversight and direct management of the temporal goods of the Parish. Candidates must have excellent oral and written communication as well as strong organizational skills. Keen attention to detail and accuracy are essential for maintaining parish data integrity. This position requires extensive interpersonal and engagement with various parish members, parish and school staff, diocesan contacts as well as vendor relationships. A service mindset is appropriate for all interactions. This position is full time / year round and reports to the parish Pastor.Essential Functions
  • Receive and record financial transactions at the parish, ministry and staff levels.
  • Administer security access and temperature control systems throughout property.
  • Coordinate scheduling of facility resources.
  • Maintain vendor relationships and contractual agreements.
  • Liaison with diocesan and government contacts.
  • Support real time response (via phone or on premise) for issues.
FINANCIALReviews budgeting of staff ministries including annual budget proposals and processes daily financial revenue and expenses. Assures that expenses are within budget, noting any variances or projected variances and communicating issues with appropriate staff members and Pastor.Responsible for donor accounts including porting data from online payment processor (Faith Direct), entering weekly donations and generation of year-end donor contribution statements. Provide support and reporting for Accounting and Finance Committees when necessary.Responsible for ordering, scheduling and mailing campaigns for parishioner giving. Ensures security of currency handling.Receive, record and deposit all pledge campaign donations. Generate monthly donor payment reminders, process monthly second collection, provide reports to the Finance Committee as needed.Provide consultative assistance to staff and ministries involving event registration. Develop, maintain and generate reports for staff and parish ministry events on event management platform (Faith Direct). Update event registration spreadsheets and record payments daily.PROPERTYResponsible for the scheduling, door access and thermostat settings of all parish facilities. Create, process and maintain parish reservation system. Process requests in a timely fashion updating parish calendar. (OnDemand). Secure third-party agreements and proof of insurance as well as appropriate waivers, when necessary.Systematize annual facility reservations for staff, school and parish groups. Maintain web site content relating to calendar and facilities scheduling.Responsible for programming of access cards as well as ensuring video surveillance system operations.LIAISONThe Office Manager is the responsible liaison for property maintenance, vendor contracts and county requirements. Oversees the vendor effectiveness and initiates vendor improvements or changes when necessary. Attends monthly Archdiocese of Baltimore Business Manager meetings and disseminates essential actions to appropriate staff members.The Office Manager will be the singe point of contact (SPoC) for the Archdiocese church management software (Ministry Platform). Duties include recording Mass attendance, maintenance of parish registrations. Process registrations and send welcome packet to new families.Responsible for gathering information and submitting annual Archdiocese of Baltimore Consolidated Report.Position Qualifications
  • BS/BA in a Business or Management Related Field with at least five years of experience.
  • Understanding of and ability to support the operation and mission of the Catholic Church.
  • Strong written and oral skills; ability to deliver clear presentations to different constituencies.
  • Advanced proficiency in Microsoft Office suite (Excel, Outlook, mail merge) and Google suite.
  • Must complete diocesan VIRTUS training and background check.
Range: $26.00 - 27.32/hourlyBase salary compensation will be determined based on factors such as geographic location, skills, education, experience for this role, and/or internal equity of our current employees as part of any final offer. Employees may be eligible for a discretionary bonus, which is determined upon company and individual performance.
