The Office Manager also contributes to the daily operations of all programs by providing office and clerical support onsite in coordination with the Corporate Facilities Management department.You WillIs the primary office key holder. Responsible to open the office and close the office. Coordinate the locking of the office daily per required stated office hours.Cordially greets all visitors and communicating with guests and staff to ensure a positive experience, advising appropriate employees of visitors, and directs all requests as necessary.Promptly answers all calls; screens and routes calls to appropriate person/department. Manages all incoming and outgoing mail and distributes incoming faxes.Maintains an ongoing list of local vendors and contact information for needed onsite support. Coordinates with corporate facilities for all onsite work or vendor repairs as needed. Assist with invoicing and billing of onsite work and vendors.Assists in keeping the reception visitor area organized and presentable. Maintains onsite supplies and inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.Monitors office equipment including copy and fax machines, printers, and shredders and advises Facilities or IT for support.Maintains employee information and monitoring plan, including tracking and coordinating of new employees, emergency contact lists. Assists Facilities in creating and maintaining written office policies, procedures and desktops. Coordinates assistance from Facilities and IT when needed.Greets and registers visitors, informs employees of the visitor's arrival, and directs visitors to appropriate meeting room. Answers and transfers phone calls, or relays messages. Collects and distributes mail. Schedules meetings or interviews, and arranges for conference rooms or makes other logistical arrangements as required. May perform occasional clerical duties, such as data entry, filing, or photocopying.Actively support the achievement of SCAN's Vision and Goals.Other duties as assigned.Your Qualifications/Competencies/Skills/AbilitiesHigh School Diploma or equivalent experience3 years of Office Manager/Receptionist experienceTechnical expertise - Basic technical skills for functional areaProblem Solving - Basic problem-solving skillsCommunication - Excellent communication, both verbal and written, and interpersonal skillsAbility to build successful relationships with a variety of people.Ability to take initiative, work independently, and as a member of a team.Strong organizational skills, and the ability to multi-task and be flexible.Proficient in MS Office.Ability to work as part of a team.
