Job DetailsJob Location0305 Associated Catholic Cemeteries - Shoreline, WAPosition TypeFull TimeSalary Range$28.53 - $31.96 HourlyDescriptionASSOCIATED CATHOLIC CEMETERIESGENERAL SUMMARY OF ESSENTIAL PURPOSE:The Office Manager supports the Holyrood Cemetery Superintendent by managing the daily operation of the cemetery office according to established Associated Catholic Cemeteries policies and procedures and managing a team of Office Assistants. The Office Manager is responsible to ensure that paperwork and digital records are completed, processed, and maintained in an accurate and timely manner and according to established policies, by ensuring that there is cemetery staff assistance at all committal services, and other tasks are assigned and completed to ensure the overall smooth operation of the cemetery office. The schedule for this position is generally Monday through Friday from 7:30 am to 4:00 pm, with weekends as needed for major events such as Memorial Day Weekend, All Souls Day, etc.ESSENTIAL POSITION DUTIES: (Accountabilities, Responsibilities, Competencies - Only the essential duties and responsibilities should be stated)
Manages the daily operation of the cemetery office in collaboration with the Cemetery Superintendent. Incumbent accomplishes this by following directions given by the Superintendent, overseeing all office functions, prioritizing/scheduling functions and responsibilities among support staff, and interfacing with the Grounds Foreman, Family Service Advisors and Accounting staff to ensure that the cemetery office functions accurately, smoothly, efficiently, and within deadlines.Manages the cemetery office assistants. The incumbent ensures that all support staff are properly trained to carry out all aspects of their position descriptions, so they meet the goals/objectives/programs of Associated Catholic Cemeteries.Provides support to the Director of Administration. The incumbent accomplishes this by ensuring that established policies, procedures, and directions are implemented and ensures that the office is running efficiently to ensure that the needs of all families using the cemetery are being met.Ensures accuracy of all records and bookkeeping. The incumbent accomplishes this by ensuring that established policies and procedures are followed, including all internal controls, for tracking accounts receivable payments received by mail for all ACC sites. The incumbent is responsible for the timely completion, accuracy, and maintenance of sales and burial contracts and associated data in both digital and paper form.Provides measurable data and information to the Superintendent and support staff. The incumbent accomplishes this by reviewing sales contracts for accuracy, being knowledgeable in the various cemetery database software programs, providing data entry of sales as needed, and being fully cross-trained in clerical elements of the cemetery office.Supports liturgical functions at the cemetery. The incumbent accomplishes this by assisting at committal services as required, presiding at the Committal Rite as required after meeting all Archdiocesan requirements, and assisting the Superintendent in planning and executing special day events.Is available to work and actively participate in all position-related job functions. Incumbent accomplishes this by engaging in regular and dependable attendance on the job including arriving to work on time, being ready to work when the shift begins, taking rest breaks and meal periods as required by ACC policy, and remaining on the job until the scheduled work shift is over.Contributes to good public relations by ensuring a positive image of ACC is conveyed in all contacts with all publics.Oversees inventory management for office supplies and cemetery materials. The incumbent is responsible for tracking and ordering necessary supplies to ensure the office is adequately stocked to carry out its operations.Assists the Superintendent in budget planning and expense tracking.
