Hocon Gas is the largest independent Propane company in Connecticut. We are constantly growing and improving our services to our customers. We are looking for an energetic person to become the Office Manager in our Guilford, CT location and the right candidate will be responsible for a team of Customer Service Representatives and oversight of all administrative processes within the branch location. Ability to multi-task and effectively manage customer calls and other administrative responsibilities is essential.

Responsibilities

  • Manage all aspects of office personnel and functions at branch location.
  • Ensure all required month-end processes are complete and all internal report is accurate and finalized for management review.
  • Accesses company databases and job aids to insure accurate call handling. Properly maintain customer database and assign various office administrative functions to Customer Service Representatives as needed.
  • Liaison between corporate office management and branch office personnel.

As an Office Manager you will ensure Customer Service Representatives will properly assist our customers handling inbound and outbound delivery and service related calls and performing administrative functions ensuring the highest level of customer service, quality, efficiency and accuracy in all that you do.

Job Description

  • Supervise CSRs' incoming calls and utilize a proactive approach with every customer interaction to answer questions and/or concerns. Back up CSRs with calls that need to be escalated to a supervisory level.
  • Maintain an in-depth knowledge of Hocon Propane and Oil products and services, customer account and billing processes, new customer information, and various policies and procedures related to product delivery and service
  • Present a professional, confident and enthusiastic image to develop trusting relationships with all team members and customers
  • Provide high levels of customer account management by properly setting up and maintaining account information and data
  • Process and coordinate Accounts Receivable, Collections and Accounts Payable functions and activities
Requirements:
  • Minimum of 3 years of experience in a customer service role, industry experience is preferred
  • Minimum of a High School diploma or GED preferred
  • Solid computer skills including Microsoft Office, data entry and the ability to run and analyze reports using Fuel Industry software
  • Ability to multi-task and prioritize assignments in a team environment
