POSITION OVERVIEW: The Office Manager is responsible for managing the company licensing, compliance, and general office functions to ensure ensure efficient and effective business practices. This role involves coordinating between different departments, overseeing non department specific office operations, ensuring all regulatory compliance, and driving operational improvements. This position will also take the lead for scheduling and coordinating company events and assisting and/or leading key initiatives or projects. Reports to: President Supervises: Office temp and/or part time positions (where applicable) RESPONSIBILITIES: Ensure the company adheres to industry regulations and standards Manage and maintain all necessary business licensing for G.E. Mechanical and all related entities Stay up to date on regulatory changes and suggest/implement necessary adjustments to maintain compliance Maintain accurate and confidential records for compliance purposes Collaborate with executive team to develop and analyze company office budget Manage relationships with office vendors and service providers, negotiating as needed for best terms Order and maintain office supplies and equipment Ensure the office environment is productive and well maintained, working with Fleet/Facilities Manager, janitorial vendor, etc. Lead or support special projects related to office improvements, relocations, or technology upgrades IT device management, assignment, and coordination Coordinate office events, meetings, and other activities Collaborate with project teams to ensure timely and successful completion Contribute to strategic planning and goalsetting processes Evaluate project outcomes and implement improvements as necessary with department leaders Prepare reports and presentations for management meetings Coordinate, analyze, and oversee the renewal of annual insurance policies, bid bonds, union bonds etc. meeting all deadlines Minimum Qualifications Education/Experience Associates Degree and 5 years management experience, OR High School Diploma and 7+ years of relevant experience Preferred Qualifications Construction/Mechanical/Service industry experience highly preferred Proven experience in business operations, management, or similar role Organizational, communication, and leadership skills, Ability to multitask in a fast-paced environment Verbal & written communication skills Attention to detail and organization Proficiency in Microsoft Word, Excel, & Outlook Ability to work as a team player *** REWARDING YOUR PERFORMANCE *** Competitive salary, commensurate with experience Company paid vacation and holidays Company health care, vision, & dental benefits 401k plan with Company match Company paid life insurance Education and training provided with monetary incentives available for education courses completed Eligible for performance and company-based bonuses G.E.
