Office ManagerAs part of the Student Affairs Wellness team, Campus Recreation promotes the overall health and wellness of our entire community providing inclusive wellness, fitness, and recreation opportunities. As the Campus Recreation team prepares for opening of the new 9-story, 270,000 square foot recreation and wellness center, the Office Manager will directly contribute to and support the planning, opening, and operation of the new facility. In this role, they will reflect the diverse needs, interests, and desires of the Pitt community through core responsibilities which include department process improvement and development; FFE purchasing and inventory; general office and business management; and coordinating department-wide compliance with all University policies and procedures. This position works a varied on-campus schedule, an assortment of hours and days, to ensure a superior participant and student employee experience.ADMINISTRATIONServes as system administrator for various software and business management platforms e.g., IMLeagues, SubItUp, EMS, Teams, Fusion, Connect2Concepts, etc.; manages access, training, documentation, reporting. Assists in developing budget projections. Develops area specifications for equipment and supply purchases. Monitors, tracks, and interprets success metrics data; compiles reports; develops recommendations based on data analysis.Job SummaryOversees administrative operations, facilitates and schedules projects, serves as liaison between internal and external stakeholders, recommends organizational changes to increase effectiveness, and resolves issues. Assists with strategic plans and budgetary functions.Essential FunctionsCreates and implements process improvements related to Campus Recreation business practices, student employment, and ensures compliance of general university policies and procedures. Facilitates clear and effective communication between internal and external stakeholders to ensure seamless operations and positive relationships. Manages general office and department FFE inventory. Maintains up to date department resources, handbooks, and trainings. Oversees resources, monitors budgets, and analyzes expenses. Oversees the preparation and tracking of invoicing for facility usage, programs, and services. Work environment is high-use, participant-centric fitness and recreation facilities that may require occasional mobility within the office, the facilities indoor and outdoor recreation spaces and sports fields, and around campus. Involves occasionally moving throughout spaces 100 plus yards multiple times per shift and moving to/from facilities. Work includes lifting, carrying, and pushing/pulling/moving items e.g., supplies, equipment, deliveries, etc. up to 50 pounds.
