Office Manager CertaPro Painters is a leader in the residential and commercial painting industry throughout North America. We are an organization of professional painting contractors specializing in beautifying homes and buildings; interiors, exteriors, commercial, offices, and condominiums. We focus on the details of every project and most importantly, we focus on our clients. Position Overview:
  • Provide support to the following functions: Marketing, Sales, Financial, Administrative, Human Resource and Business Development.
  • Work with customers over the phone to schedule all aspects of the job before the start of the job, schedule the jobs, kick off the jobs on site, follow up with the homeowners and crews as the job is being produced, close the jobs out.
Responsibilities:
  • Create sales packages, send and schedule estimates for Sales Associates
  • Send estimate follow up letters to customers with Sales Associate's direction.
  • Ensure all marketing tactics are executed as per the Company's Annual Marketing Plan.
  • Ensure all customer mailing lists are up to date.
  • Perform commercial telemarketing.
  • Maintain inventory and update all point of sale material.
  • Order paint and materials with Production Associate's direction.
  • Enter Annual Financial Plan (AFP) into QuickBooks.
  • Issue Purchase Orders (PO's).
  • Pay all bills and maintain all files.
  • Manage paperwork for new hires and terminated employees.
  • Conduct constant follow ups with customers.
  • Participate in regional or national on-going training conferences/meetings.
  • Lead and mentor the Job Site Supervisors (painting crew leads) by providing them the support and guidance they need to manage their crews efficiently and effectively
  • Provide an exceptional customer service experience and resource for our home and business owners to dramatically differentiate ourselves from our competition
  • Recruit, hire and retain the best Painting Crews and job site supervisors in the business
  • Work hand in hand with the Sales Associate and Office Manager to drive production schedules, crew staffing and flow of work.
  • Respond to client concerns or issues with a positive attitude, a solutions oriented approach and quick & efficient resolution.
  • Be a team player. Over-communicate and collaborate with our team to help ensure success, deliver positive results and drive growth for the business.

  • Strong Communication skills are a must including a friendly + positive demeanor
  • Spanish speaker - highly preferred (not required)
  • High attention to detail, strong work ethic and a problem solver

  • Ability to work closely with painting crews
  • Unrestricted driver's license and clean driving record
  • Ability to work Monday-Friday with some Saturdays and some nights depending on the project if needed
  • Experienced with social media and digital marketing
  • Organized
  • Knowledge of Microsoft office packages
  • Proficiency in QuickBooks (preferred)
  • Excellent verbal and written communication skills
