JOB SUMMARY: The Office Manager performs administrative and office management duties to ensure proper support of Pathologists for timely case sign out and consistent work flow in the department. JOB RESPONSIBILITIESESSENTIAL FUNCTIONS:
Provides direct support to facility operations: - Manage direct reports in accordance with PathGroup policies and ensure development and proper coverage of department.
- Maintain files on non-physician employees as applicable.
- Monitor of all applicable State Licensures and/or compliance.
- Assist with data entry aspects of the Quality Management Program.
- Monitor front office turnaround time and productivity, taking corrective actions when necessary.
- Handle of confidential information.
- Development and enforcement standard operating procedures for the department.
- Manage the distribution and tracking of building access cards and keys.
- Collect and send packing slips and invoices to the appropriate departments.
- Monitor building maintenance and cleaning services to ensure clean and safe work areas throughout the facility.
Supports client relations:- Assist the local and regional sales teams when necessary including; sending supplies, providing reports, and resolving problems and concerns related to the laboratory.
- Interact with clients directly, as needed, to address all issues and/or questions in a timely and responsive manner.
- Research and resolve problems related to receipt of pathology reports. Serve as point person for client inquires.
- Handle all other client concerns/complaints as needed.
Supports performance of the operation by assisting with daily functions:- Assist with the Quality Management program through the creation and/or maintenance of relevant documents.
- Gather and calculate data for processing of monthly reports and collect applicable QC sheets.
- Ensure that management directives are properly communicated to staff.
- Ordering of Special Stain requests when receptionist is not available to do so.
- Perform clerical duties within the office as needed.
- Perform slide distribution as needed.
- Assist with formatting of laboratory manuals.
- Assist with tracking of competency testing and related updates.
- Make copies and file documents (including slides) as needed to maintain organized records.
- Track attendance and organize meetings as required or directed.
- Assist with routine maintenance of phones, computers, and other system hardware as directed in the absence of the Office Coordinator.
- Support the performance of other laboratory functions/tasks as needed to enhance the overall work flow and productivity.
- Ensure working areas are clean and organized for safe, accurate and efficient department operations, including weekly maintenance walk for identification and addressing of problem areas.
- Keep company integrity by maintaining security and confidentiality of all data, procedures and data system components.
- Must be familiar with and abide by the Corporate Compliance Program and all Corporate policies, including the Privacy and Security policies.
NON-ESSENTIAL FUNCTIONS:
- Work with other departments within PathGroup and subsidiaries.

EDUCATION & LICENSURE:High School Diploma is required.EXPERIENCE:Two years of prior job-related experience.Previous supervisory experience preferred.
