The Office Manager is a part of the dynamic Human Resources Team that supports the business across multiple disciples, including supporting our offices in 8 countries around the world. The team is passionate, and truly cares about the impact and contribution that feeds into success at the individual, team, and overall company level. The Office Manager will sit in our Charlottesville, VA office and manage the day-to-day operations of one of our Americas offices and support leaders with administrative projects. This position will also remotely work with Americas leaders to ensure their administrative needs are addressed and best practices are leveraged across our footprint. What You'll Be Doing: * Ensure all building systems are operational and are maintained in accordance with company policies, environmental regulations, building codes, and local/national regulations * Respond to building occupant maintenance/repair requests * Coordinate and manage repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance, and janitorial work * Ensure vendor services are performed timely and properly and escalate issues timely * Obtain and review price quotes for the procurement of parts, services, and labor for projects * Coordinate and manage office moves, additions, and change activities * Meet with vendors and obtain cost estimates for space-related projects and assist with furniture setup and relocation * Coordinate and manage the vendor relationship for office cleanings, including daily basic and deep cleaning * Provide coordination and support events, meetings, and conference facilities as required Order, coordinate the delivery of, and keep organized amenities and supplies which include food services, food cleanup, office supplies, event set up, event tear down, IT equipment, etc. * Assist the Human Resources and CET team with employee office onboarding and equipment/office access, distribution of welcome kits, etc. * Collaborate with IT to manage/catalog/organize local IT equipment * Liaise with IT on troubleshooting/ticket resolution where appropriate (e.g. resetting Wi-Fi routers/servers, installing meeting room equipment updates, etc.) * Provide administrative support to VA leaders on corporate initiatives (DEI, Apex) and ad hoc projects * Other duties that may include but are not limited to reception and guest support, mail and courier services, office supplies and equipment maintenance, plant maintenance, landlord relations and management of building access passes, safety, and security support What We Look For In You: * Bachelor's degree or equivalent work experience * 1-3 years of facilities maintenance experience * Project management experience preferred * Flexibility to work nights/weekends as necessary * Ability to communicate orally and in writing in a clear and straightforward manner * Ability to handle multiple projects and tasks * Working knowledge of building systems and facilities maintenance and basic knowledge of minor repairs Our differentiator is - Our People! Country specific benefits: We provide a comprehensive benefits package that includes medical, dental, vision, 401k matching, commuter benefits, gym membership reimbursement, open PTO, and company paid holidays. $63,400 - $82,500 a year The shared salary range is based on our good-faith belief at the time of posting. While the range is for the expectations as laid out in the job description, we are often open to a wide variety of candidates and recognize that the person we hire may be less experienced or more senior than this job description as posted. Total compensation may vary based on work experience, geographic location, market conditions, education/training, and skill level. Compensation Range: Base salary/yearly + annual cash bonus + equity and benefits such as paid holidays, open PTO, medical, dental, and vision.
