As the Office Manager, you have the unique opportunity to shape and foster a positive work culture. You provide indispensable support to the leadership team as they navigate a landscape of ambitious projects and real estate developments. Your role encompasses a diverse array of responsibilities, from assisting with project contracts and fee proposals to overseeing office maintenance and being the welcoming face of the office. With no task deemed too big or too small, you embody adaptability and resourcefulness in ensuring the smooth operation of daily activities. In addition to administrative duties, you play a pivotal role in coordinating events and acting as a trusted adviser to the leadership team and fellow team members.

Responsibilities:
  • Be a trusted support and adviser to leadership team regarding all administrative needs.
  • Assist team members with project contracts, fee proposal drafting, report preparation, and presentation preparation (QA/QC as needed).
  • As the Office Manager no task is too big or too small for you to take on. This includes office maintenance, ordering and putting away supplies, answering phones, being the face of the office and assisting the overall team.
  • Attend weekly department meetings, organize agenda, take meeting minutes, and follow up on all actionable items.
  • Coordinate travel, complete expense reports and credit card reconciliation.
  • Maintain leadership calendars.
  • Input data into our company-wide Customer Relationship Management (CRM) site.
  • Plan and organize Happy Hours, Team Building events, Summer and Holiday parties.
  • Coordinate Lunch and Learns, Birthday/Anniversary lunches.
  • Partner with the Executive Assistant on any tasks requests.
Qualifications:
  • Bachelor's degree in business administration, office management, or related field preferred. Equivalent work experience may be considered in lieu of formal education.
  • Minimum 3-5 years' of experience in office administration, administrative support, or office management roles, preferably in a fast-paced related industry such as real estate, construction, or professional services.
  • While not required, certification as a Certified Administrative Professional (CAP) or Certified Office Manager (COM) is preferred.
  • Advanced efficiency with Microsoft Excel, Word, and Outlook.
  • Experience with Deltek, Concur and document management systems is a plus.
  • Ability to be in the office daily M-F, 8am-5pm.
