Location: Santa Clara,CA, USA
We are looking for someone to manage the strategic planning, implementation, and operations of our administrative and talent platforms. Qualified individuals must be dependable, well-organized, have the ability to multitask, and have great interpersonal, communication, and time-management skills. Must also be bilingual in both English and Spanish.
Administrative responsibilities include managing office related operations, including but not limited to:
* Office supplies, filing systems (both online and paper)
* Respond to and/or direct restaurant emails and phone calls for appropriate action
* Conduct monthly audits of Food Handler Cards, Team Member Anniversaries, Work Permits, Regulatory training, Delivery Driver DMV records, etc as required by policy and any other required audits
* Manage Team Member Uniforms (including new hire, anniversary, Team Member requests)
* Prepare and manage Team Member files, paperwork, uniforms, etc
* Assist with paperwork completion as directed
* Translate English into Spanish and vice versa as needed
* Manage vendor visits
* Manage CARES submissions, including reporting on trends and CEM scores during Leadership meetings
* Maintain restaurant equipment stored and located in the restaurant and offsite
* Manage supplier/vendor billing processes including month-end accounting
* Manage aspects of employee benefit billing
* Payroll- ensure accuracy with time punches, overtime is within limits, benefits are applied as applicable, all labor laws are followed, and payroll, benefits, w2s, etc are processed on time
* Administrative duties to ensure smooth running of operations
* Support restaurant events (marketing events, fundraisers, team building events, etc)
* Provide administrative assistance for the team member lifecycle from prospective team members to the separation of employment.
* Source/review active and passive candidates through our online and paper application portals.
* Manage operations of Onboarding and Orientation including but not limited to:
* Initiate offers to close candidates and update candidates who have not passed through as needed.
* Send onboarding documents (onboarding paperwork, permit forms, etc) to new hires
* Manage the new hire onboarding process including completion of offer letter, completion of all new hire documents (onboarding forms, food handler's cards, permit forms, etc). Ensure new hires bring proper documentation to orientation is accurate and up-to-date.
* Communicate effectively with the interview team to ensure preparedness during the interview process and onboarding and orientation. Share and exchange information with executive management.
* Conduct orientations and trainings as necessary
* Leadership of overall employee path from hire to separation
* Provide support in the development/evaluations of existing team members
* Management of all team member files
* Ensure proper documentation of disciplinary issues is complete and updated
* Complete and manage HR documentation and onboarding
* Add / update our HR portals and payroll systems with new hire/change/termination information.
* Maintain required certifications/trainings across the organization
* Ensure all team members are adequately trained in their positions
* Manage operations of growth and promotion channels
* Provide administrative support in employee relations (meetings, investigations, etc) with discretion and abiding by rules and regulations
* Maintain and enforce Employee Handbook as well as California and Federal employment and labor rules and regulations across the team
* Support HR Director and Leadership team as needed
* Work in position approximate 10-20 hours per week around 12-2pm and provide restaurant support (FOH or BOH) into position when needed

Minimum Requirements
* Bachelors degree
* Proven work experience as an recruiter, office manager, hospitality manager or similar role
* Bilingual in English and Spanish
* Knowledge in computer skills, including Microsoft Word, Excel, and Google Suites
* Types +45 word per minute
* Family with Google Workspace tools and Microsoft Office
* Knowledge of shift leading and positions within a restaurant in California
* Have and maintain California Food Handler's Card and Supervisor's Harassment Training Certifications within two weeks of start of position
