We are currently looking for a Office Manager to join one of the group's specialist divisions. This division partners with governments, civil society, foundations, academia, and the private sector, to work on the critical issues of our time, including the climate emergency, national security, social justice, conflict prevention, and sustainable development. We provide a fully integrated, end to end service, combining multi-discipline communications teams with subject matter experts, across the world. Our work is domestic and global, often affecting the most vulnerable in society, with international activity orientated towards conflict affected or developing countries. This role is based out of our New York office. Job Responsibilities:
- Onboarding/New Hires: Improve and maintain a process for bringing new members onto the team and ensuring a smooth transition with IT/equipment/briefings, etc.
- Office Management: ensure office spaces are run efficiently, support with tech services, catering as required, management of suppliers such as cleaning, A/C maintenance, landlord, plant maintenance, admission and Entrance (keeper/butterfly/open).
- Office Costs: Company Card Receipts/Expensing, staff purchases (IT, biz cards).
- Record Maintenance: Maintain records and gather information for any relevant insurances and assets pertaining to the building, company, and staff.
- Visitor Management: general visitors and rotas, and specific apartment tracking and maintenance.
- PA Responsibilities to US Managing Director
About You:
- 1-3 years of administrative and operations expertise in a similar working environment.
- Excellent communication skills to enable him/her to engage with senior stakeholders and to understand team, office and business requirements.
- Sense of responsibility towards the organization's reputation.
- An interest in the world and a curiosity to understand it better.
- Ability to work independently and take initiative.
- Proactive, driven and a team player.
- Practical understanding of commercial, office and administrative operations.
- Exceptional time management skills, organization and prioritization skills.
- The ability to build and maintain relationships with internal and external providers.
- Fluent in written and spoken English.
- Excellent oral and written communications skills (English).
- Proficient in all components of Microsoft Office (Outlook, Teams, word-processing, power point and spreadsheets).
