This staff is responsible for the execution and oversight of daily billing, office administrative and some HR activities.Office Manager with Accounting and Operations ExpertiseWe are seeking an experienced and detail-oriented Office Manager with a strong background in accounting, HR, and operations. This dynamic role involves supporting financial processes, managing office operations, and assisting HR activities to ensure the smooth functioning of our organization.Key Responsibilities:Accounting and Financial Management:
- Process customer invoicing and maintain accurate financial records.
- Set up sales orders, projects, and agreements in ConnectWise PSA (Professional Services Automation) software.
- Work with Microsoft Business Central Accounting and ConnectWise to manage accounting tasks.
- Process bi-weekly payroll through UKG and employee time and expense reports.
- Oversee collections, allocation of payments, and reconciliation of customer accounts.
- Monitor customer accounts for irregularities such as non-payments and delayed payments.
- Investigate and resolve customer billing and invoicing inquiries.
- Handle down payments, credit memos, and invoicing for project labor, licenses, and time-and-material tasks.
- Conduct project reconciliation using ConnectWise or similar tools.
Operations and Office Management:
- Develop and maintain office processes to support operational efficiency.
- Collaborate with the Finance team to enhance operational processes.
- Manage vendor relationships and office supplies procurement.
- Assist in improving operational workflows and policies.
HR and Employee Support:
- Assist with HR activities, including employee benefits programs and onboarding.
- Establish and provide training on company policies and procedures as needed.
- Support performance management processes and maintain accurate employee records.
Customer and Team Interaction:
- Maintain customer contact information and handle account-related communications.
- Ensure a professional and approachable presence in interactions with team members and customers.
Qualifications:
- Bachelor's degree in Business Administration, Accounting, or related field (preferred).
- Experience with Microsoft Business Central, ConnectWise PSA, and UKG (or similar systems).
- Strong proficiency with Microsoft Office Suite (Excel, Word, and Outlook).
- Excellent organizational, communication, and interpersonal skills.
- Ability to handle multiple tasks with attention to detail and accuracy.
- Team-oriented mindset and a proactive problem-solving attitude.
Qualifications:
- 5+ years of office administration and management experience
- Bachelor's degree in business or equivalent preferred
