Office Manager Position Overview: The Office Manager provides high-level management/leadership in the daily coordination of administrative office staff. Other key duties include communication between various departments and department heads, maintaining general organizational records, preparing and managing invoices, rendering administrative support to the President and Plant Managers. The Office Manager will ensure to relay important information, enforce methods, policies and principles and convey policy changes from upper management throughout the organization as well as other duties. Job Functions & Qualifications: Monitoring all daily administrative office operations, including payroll, invoicing, accounting and other office transactions. Oversee the work of office employees to ensure timely work productivity and quality to meet company standards. Responsible for maintaining organizational records and documents. Facilitating vendor and customer and client communication and directing them to relevant staff. Account maintenance, reconciling, transferring, and maintaining adequate banking levels for all financial transactions. Creating, reconciling, collecting, and providing information to Accounts Payable & Receivable staff ensuring all obligations are met. Creating an office budget and ensuring employees abide by the budget. Assist with operation and employee purchase requests, budgets and approvals for supply orders. Maintain company fleet vehicle licensing, registration and insurance liability requirements. Facilitate new business within existing accounts. Responsible for the organization and maintenance of contracts with maintenance companies and communicate with Facilities Manager to keep offices clean, safe and keep appliances in working order. Promotes teamwork treating all employees fairly, consistently and equitably, demonstrating respect, honesty, kindness and friendliness. Perform other responsibilities and assignments as assigned by the President/CEO. Skills JobBOSS, GSS or other ERP Software. Strong organizational skills. Ability to translate large quantities of complex data into actionable information. Excellent business judgment, analytical, and decision-making skills Excellent verbal and non-verbal communication skills. Essential Functions: Direct Supervision of Employees (3-7). Occasional lifting of up to 40 pounds. Hours for position are dictated by the workload and at times require more than a typical 40-hour work week. Overtime is paid when authorized. Some travel may be required. Education/Experience: Three to five years of office management experience and/or a bachelor's degree. Must have high school diploma or equivalent. Ability to work and effectively communicate with senior-level business partners. Compensation: This is a full-time, performance-based position; wages are commensurate with skills and experience.
