Job Description:
Title: Office ManagerSchedule: Full-time, 40 hours/week | Will include weekends and holidays during the event seasonFLSA: Non-Exempt - Hourly | $17 - $19 per hour plus overtime and benefits.Reports to: Executive DirectorPurpose: In support of GMHA's mission, provides management and support for the day-to-day operations of the office and the trail events.Office ManagementMeeting and greeting visitors to the office and answering the phone, acting as the first point of contact and the Ë face' of GMHA with emphasis on providing friendly, efficient customer service at all timesMaintaining the eTapestry database in consultation with other members of staffDeveloping and managing the office budgetOrdering and keeping inventory of GMHA merchandiseManaging all aspects of the GMHA membership activities, including regular mailings and reports. Managing lists for the Annual Meeting, Annual Fund, and member-based mailingsRecording donations in the database and mailing donor letters of acknowledgement in consultation with the BookkeeperActing as the point-person for IT issues and working with the designated IT providers to ensure the maintenance and utility of the systemsMaintaining knowledge of local vendors, contractors, businesses, and community organizations, and assisting in determining the choice of provider to best meet GMHA needsMaintaining the inventory of office supplies (administrative and housekeeping) and take responsibility for ordering and record-keepingWorking with the Executive Director to provide support for board and board committee meetings as neededProviding administrative support for staff in the course of their daily workProviding basic housekeeping in the officeWorking with the Executive Director and staff to hire summer interns, plan their schedules, and overseeing the fulfillment of their dutiesManaging volunteer recruitment to help minimize costs and maximize efficiency in office operationsOrdering and managing the inventory of event ribbons and prizes; pulling ribbons for events and setting up ribbon and prize displaysKeeping trophies updated and managing event file storageTaking on any other tasks and duties as deemed necessary by the Executive Director or Board for the smooth running of GMHASkills, Knowledge & Qualifications:In-depth knowledge of office management practices and proceduresExcellent interpersonal and communication skills and a personable manner towards supervisors, staff, clients, volunteers, suppliers, and the general publicAbility to interact with others with tact and diplomacyStrong organizational skills and ability to respond appropriately to pressures, deadlines and frequent changes in priorities and schedulesInterest in horses and equestrian events; must love dogsInitiative, sound judgment and ability to work independentlyHighly proficient with computer applications, including the Microsoft Office Suite.Willingness to learn new computer applications used by GMHA (e.g., eTapestry, SignUp Genius, various horse show programs, etc.)Honesty, reliability, and a good work ethicWillingness to work weekends as necessaryValid driver's licenseABOUT GMHAThe Green Mountain Horse Association is a non-profit organization that organizes competitive, recreational, and educational equine activities in a number of disciplines (eventing, dressage, driving, hunter/jumper, competitive trail, endurance and pleasure trail rides).
