The school office manager contributes to effective public relations for the purpose of responding to inquiries at the school office from staff, students, parents, the public, etc.; providing requested information and/or referral to other parties directing visitors; and providing general clerical support to building administrators. This person is often the first person students and visitors see at St. John Paul II School; therefore, a warm and welcoming personality is essential.Position Type: Full-time Positions Available: 1 Job Categories:Support Staff > Administrative AssistantSupport Staff > ReceptionistSupport Staff > SecretaryJob RequirementsRESPONSIBILITIES:- Welcome visitors (e.g. public, parents, students, substitutes, vendors, staff, etc.) courteously; respond to their inquiries and/or direct them to appropriate personnel in accordance with norms regarding building security.- Maintain organization and cleanliness of the main office and reception areas.- Review school email messages and forward them to the appropriate person(s).- Enter student information into the School Information System (FACTS).- Process daily attendance.- Assist students in the health clinic when the school nurse is not available.- Organize and distribute reports (attendance, mailings) as directed.- Supports telephone and/or intercom systems (e.g. voicemail, system orientation, updating extensions, etc.) for the purpose of providing essential telephone communications within the school system.- Programming of the school bell system.- Oversees food service ordering and data.- Performs record keeping and general needs to perform specific clerical functions (e.g. scheduling, copying, faxing, etc.) for the purpose of disseminating information to appropriate parties.- Provide administrative assistance to the Assistant Head of School.- Produce documents and materials (e.g. announcements, dismissal/tardy passes, bell schedule adjustments, etc.)- Receive deliveries, mail, supplies, messages, etc. for the purpose of disseminating materials to appropriate parties.- Track and maintain key issuance.- Respond to emergency calls for the purpose of notifying appropriate parties to address immediate safety and/or security.- Prepare the office for emergency procedures including evacuation, relocation, and lock-down.- Answer and screen phone inquiries of staff, students, parents, the public, etc. (e.g. phone calls, visitors, etc.) for the purpose of taking appropriate action and/or directing/transferring to appropriate personnel for resolution. Takes messages if a person is unavailable.- Maintain inventory of supplies.Additional Requirements:- Willingness and ability to work as part of a community committed to the Roman Catholic Church and its values. Knowledge of telephone communications systems, email communications, databases, and computer skills. Strong skills required for typing, filing, and operation of common office equipment. Conversant with Google apps, Microsoft Office, FACTS SIS and ability to acquire aspects of specific school computer systems (including software). Ability to demonstrate courtesy and professionalism in all interactions.
