We work alongside the world's top artists in music, film, and television, as well as athletes, executives, entrepreneurs, and other high achievers, offering a sophisticated range of concierge-style services to meet their lifestyle management needs.Position Title: Office ManagerReports To: PartnerFLSA Status: Exempt Department: Office ServicesYour Role: We are seeking an exceptional and dynamic Office Manager who is highly motivated, reliable, and task-oriented, to provide a range of office support to our Garden City office. The ideal candidate is a self-motivated professional, capable of prioritizing tasks in a fast-paced corporate environment. This is an excellent opportunity for prospects able to lead, oversee, and manage a small to medium sized office, serving as a fundamental key player to our Garden City location. What Will You Do?
  • Approve, adjust, and review employee timecards and PTO using ADP
  • Approve employee expense reports using Expert Time
  • Collect, scan, and E-mail incoming bills for approval, and prepare monthly bank reconciliations
  • Mail invoices, concur electronic invoice approvals, and request building access cards
  • Liaise with IT team as Garden City office point of contact, assisting with Helpdesk requests and escalations
  • Work closely with our vendors and technicians for on premise printer, toners, and additional services
  • Act as first point of contact for Garden City office recruiting needs, including but not limited to: providing job descriptions, reviewing resumes of applicants, and interviewing
  • Participate in weekly onboarding meetings, provide access for new hires, and assist with offboarding payroll
  • Act as Garden City Office representative for Events Committee
  • Oversee and maintain office calendar; enter employee work schedules as needed
  • Oversee and approve conference room requests
What Do you Need to Succeed:
  • Experience with ADP and Expert Time is a plus
  • Competency in Microsoft Applications including Word, Excel and Power Point
  • Ability to prepare and format reports in both Excel and Word with exceptional proof-reading skills.
  • Attention to detail and high organizational skills.
  • Strong verbal and written communication skills is a must.
  • Strong problem-solving skills with impeccable multi-tasking abilities.
Education / Experience:
  • High school diploma required.
  • Bachelor's degree in Business or related field preferred.
Physical Demands and Work Environment:
  • Standing, walking, crouching, and regular lifting up to 15 pounds
  • Frequent use of hands and reaching with hands and arms
  • Regularly talking, hearing, seeing, and sitting
  • Moderate to loud noise level
  • Risk of electrical shock
Salary Range: The salary range for this role is $70,000 - $90,000 and represents the firm's good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate's relevant experience, qualifications, and location.
