This is an excellent opportunity for a motivated Office Manager to join a supportive, collaborative, and growth-focused team in an organization that values diversity and innovation. The position is a blend of Office Management, Project Coordination, Facilities and IT support. We are seeking someone who enjoys wearing multiple hats and be very involved in the day to day operations of this site.

Office Management/IT Support Responsibilities:

  • Ensure new hires have appropriate workstation setup prior to hire date to include but not limited to, placement, computer setup, facilities furniture move and setup, supplies, etc.
  • Manage and oversee day-to-day operations and related issues, including site services, and light general maintenance; escalate building-related repairs to appropriate building management personnel.
  • Coordinate return and collection of computer equipment for terminated remote employees.
  • Receive and manage incoming Facilities and IT help requests in a courteous and timely manner; escalating higher level IT tickets to appropriate IT vendor.
  • Identify and learn appropriate software and hardware used and supported by the organization.
  • Provide technical and/or administrative support.
  • Provide advice on equipment acquisition or enhancement, operation, and maintenance.
  • Maintain a running inventory for all company property, both on site and in off-site storage.

Project Coordinator Responsibilities:

  • Work closely with managers to ensure projects are executed according to plan and meet all requirements.
  • Support the project team by proactively coordinating meetings, maintaining project schedules, tracking progress, and providing status updates.
  • Facilitate communication between project team members, stakeholders, and partners to ensure project success.
  • Identify and resolve issues and risks that may impact project timelines or outcomes.
  • Ensure project documentation is accurate, up-to-date, and readily available to all relevant parties.
  • Prepare and deliver presentations to internal and external stakeholders as needed.
  • Participate in the continuous improvement of project management processes and procedures.

Qualifications:

  • Bachelor's degree in a relevant field preferred.
  • Experience in project coordination or facility support roles.
  • Strong organizational skills with attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office suite and project management tools.
  • Technical aptitude with a willingness to learn new software and hardware systems.
  • Ability to multitask and prioritize tasks effectively.
  • Knowledge of regulatory requirements related to facilities management and IT support is a plus.
