FISBA NORTH AMERICA / OFFICE MANAGER / SACO, ME

FISBA is seeking an Office Manager to work from their Saco, Maine office/production facility. This is a dynamic, multi-faceted role that will be a key contributor to setting up processes, using technology and keeping the operation well organized as the company grows and builds out its production capacity to manufacture advanced optics components.

This is an office-based position, but there is scheduling flexibility to meet personal needs.

Requirements of the Position:

  • Experience in an office management or administrative role performing a wide range of duties supporting multiple aspects of the operation.
  • A love for organizing and creating strong processes and systems to make a company run smoothly.
  • A ‘can do' attitude to take on projects or tasks as the business grows and expands.
  • Advanced knowledge of cloud-based tools (e.g., SharePoint, Teams), and excellent knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) to support team effectiveness and efficiency.
  • Ability to work independently and effectively prioritize tasks.
  • Excellent written and verbal communication skills.
  • High level of professionalism and discretion as well as maintaining confidentiality.

Pay and Benefits:

  • Salary between $50-60k; offer commensurate with experience.

Responsibilities of the Position:

The Office Manager will work with all members of the FISBA team to manage a variety of administrative and operational tasks to ensure the smooth operation of the FISBA office.

OFFICE AND FACILITIES: Maintain a well-organized, efficient, professional, and welcoming office environment. Keep office supplies stocked, coordinate with vendors to ensure that office and production equipment is maintained and serviced timely, and that supporting documentation is maintained. Coordinate projects within the facility (e.g., cleaning, maintenance, repairs) and ensure that the space is well organized and conducive to effective operations. Coordinate shipping and receiving, including maintenance of required logs.

TECHNOLOGY AND SYSTEMS: Maintain the internal SharePoint site and support users in its effective use in collaboration and file organization. Coordinate onboarding of new employees to ensure that they have the correct computer and software set up and work closely with IT vendors to ensure timely support and troubleshooting. Work closely with team to develop and maintain strong systems for inventory, quality, company records and data that is well organized and up to date.

ADMINISTRATIVE/LEGAL/HR/FINANCE: Prepare reports, presentations, and documents. Make travel arrangements, take meeting minutes, complete expense reporting, and responsible for general reception (front desk, phones, etc.). Keep NDA logs and coordinate legal documents and filings. General HR support including onboarding new employees and maintaining employee files. Support finance with invoicing and expense tracking.
