Job Description:
The office manager must build positive, professional relationships with clients and all team members. The office manager position requires exceptional customer service and confidence in a fast-paced hands-on environment that includes tackling many tasks at once with numerous interruptions. As our office manager, you will be expected to understand the inner workings of the practice. You should also be able to effectively supervise and manage the staff and resolve employee and/or client conflicts diplomatically. It will be expected that you will assist in all business activities such as Marketing, Human Resource Management, Accounting, Scheduling, and Strategic Planning. General Tasks: Possess and express a genuine love for animals and for working in an animal care environment. Maintain a professional, friendly demeanor while on the job. Perform job tasks efficiently, promptly, and effectively when asked. Promote a positive attitude among staff. Show respect for clients, team members, and animals at all times. Ability to work in a highly collaborative environment and commitment to building relationships with colleagues, clients, and community. Can keep calm even during hectic and stressful times. Demonstrate a willingness to assist all employees in making the practice a success. Administrative Tasks: Uphold protocols and policies. Accurately manage financial transactions such as processing bills, taking payments Computer skills including typing, organizing, data entry, and communicating utilizing common computer software and programs. Maintain accuracy of financial reports including end or day, week, month, and year reports as needed. Including quarterly inventory. Assisting in the recruitment, interviews, and hiring of support staff. Assist with payroll as needed. Communicates objectives, helps to motivate staff, helps build & maintain morale; and maintains core values and standards. Supervision and Assistance with Reception Tasks. Attends and plans hospital-sponsored events. Explain delays that affect clients. Ensure the comfort of clients and patients during their waits. Willingness and ability to present and explain fees during checkout while discharging patients and processing payments. Can outline costs and fees in a positive light while supporting hospital and resort payment policies Assist in business development, overseeing the business operations and maintenance of the facility; ensuring business growth and profitability of the practice; and supporting the hospital and resorts mission of delivering high-quality patient care and exceptional client service. Facilitates resolution of client problems/complaints that doctors, or other staff, cannot resolve. Medical-Record Management Tasks Direct supervision of the CSR team. Cooperates with, assists, and directs other management teams within the building toward the completion of hospital and resort goals. Holding the team accountable for the quality and quantity of work performed. Upholding all procedures and protocols within the company/hospital and resort. Daily training, management, and development of the team is a priority from the beginning until at such a time they are self-sufficient.
