Position Summary:

The Office Manager will provide administrative support to the Human Resources and Administration team, including the General Manager, Assistant General Managers and Human Resources Manager. Administrative duties may include, but are not limited to, providing clerical support to the executive team, supervising KBHCCD administrative / reception staff, supporting the front-desk and always ensuring coverage during business hours. Support preparation for internal meetings (including sending out meeting notices, sending calendar invites as applicable, coordinating with Director of Events on PowerPoint presentations, catering and A/V needs as necessary). Safeguard company assets.

This role will pay a yearly salary of $55,000 to $70,000.

This position is based at our Kay Bailey Hutchison Convention Center. The Kay Bailey Hutchison Convention Center Dallas (KBHCCD) is one of the largest convention centers in the nation. Every year it welcomes over a million visitors attending major national and international conventions, meetings, concerts, athletic competitions, auto shows, and more. Located in the heart of downtown Dallas, the KBHCCD has been and continues to be a fixture in the Dallas skyline offering 1 million square feet of exhibit space, three ballrooms, 88 meeting rooms, 1,750-seat theater, and a 9,816-seat arena. Responsibilities:

  • Provides independent administrative support of the day-to-day activities of the General Manager and Assistant General Managers to maximize executive productivity and ensure department efficiencySupervises administrative personnel and ensures front desk is covered during all operational hours.
  • Effectively manages the General Manager and Assistant General Managers calendars as necessary, acting independently to routinely schedule appointments and arrange any necessary travel itineraries.
  • Prepares clear, concise, timely reports, presentations, correspondence, and other written materials
  • Establishes and maintains effective, positive working relationships with those contacted in the course of work. Creates agendas and records meeting minutes.
  • Main point of contact for preparation of OVG Self-Assessment, working with all stakeholders to ensure accurate reporting.
  • Prepare weekly reports for the City of Dallas, ensuring timely input from all departments.
  • Assists the Human Resources team in facilitating some human resources responsibilities, events or meetings.
  • Provide accounting support to company departments. Reconcile sales reports prior to month end postings. Oversee document coding.
  • Provide general office and clerical support: preparation of weekly package to corporate, copying, filing, correspondence, telephone inquiries.
  • Work with Assistant General Manager to coordinate construction, demolition and renovation schedule with experience in change orders and planning.
Qualifications:

  • Bachelors degree a plus; GED or Diploma required.
  • A minimum of 4 years providing administrative support to executive team required.
  • A minimum of two years previous supervisory experience required.
  • Consistent and reliable attention to detail, accuracy, and validity.
  • Experience working in a construction / renovation environment a plus.
  • Ability to multi-task in a fluid, event-driven environment. Must work well under pressure of deadlines.
  • Capable of successfully interacting and collaborating with a diverse spectrum of individuals calmly, professionally, and supportively.
  • Excellent organizational and time management skills; ability to delegate tasks as required.
  • High level of proficiency with Microsoft Office required, experience with Canva and Adobe a plus.
  • Extensive experience preparing spreadsheets and reports.
  • Ability to adhere to the highest standards of ethics, integrity, professionalism, and discretion. Ability to execute solid management decisions quickly and efficiently while maintaining confidentiality.
  • Ability and willingness to work extended hours (i.e. evenings, weekends, holidays), as required by business necessity.
  • Excellent written and verbal communication skills.
  • Ability to adapt to new concepts and exhibit resourcefulness/initiative in problem-solving.
  • Calm and focused; able to interface with staff and clients while working on multiple projects simultaneously.
  • Versed in proper office/organizational/business etiquette.
  • Highly developed administrative and general office skills.
