Posting Title: Office Manager, Office of Campus Ministry Overview:
Under the direction of the University Chaplain & Director of Campus Ministry and the Associate Director of Campus Ministry, the Office Manager helps maintain the operations of the Campus Ministry office and supports the staff as needed.
The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is: $57,5000 ($31.59/Hr).
Responsibilities:
- Collaborate with the University Chaplain & Director of Campus Ministry, and the Associate Director of Campus Ministry on all office operational tasks as assigned, including but not limited to:
- Communications and web services support
- Technology services requests
- Maintenance and facilities requests
- Mailing and shipping
- Purchasing supplies and equipment
- Ministry and office-based errands
- Receive visitors to the office, maintain friendly and welcome office space. Answer all phone calls and convey messages to the proper parties.
- Manage the Campus Ministry email account, disseminating correspondence to correct Campus Ministry staff members, and support the University Chaplain & Director of Campus Ministry in coordinating campus-wide bereavement notices as needed.
- Submit all key requests and update and maintain records for key card access to Campus Ministry spaces. Manage safety and security of CM spaces by keeping records on those with keys and tap access.
- Manage student and staff rental of Campus Ministry vehicles.
- Manage logistics for and attend weekly staff events, including staff lunches, staff book clubs, staff holy hours, and weekly staff meetings.
- Assist in event preparations, including retreat, student ministry, and other office events. Assist Pastoral/Professional/Student Staff in preparing for such events.
- Establish a historical reference for the office by outlining procedures for protection, retention, record disposal, and retrieval.
- Perform other job-related duties as assigned.
- Assist in the hiring process, train and supervise all office assistants.
Maintain a tidy, clean and organized office environment by cleaning the common areas, organizing the storage areas, and maintaining inventory lists for all supplies and materials.
Qualifications:
- A Bachelors Degree.
- At least 2-5 years of office-based, administrative work preferred.
- Web and technology proficiency preferred, including familiarity with CMS (content management systems such as Cascade), Trello, Webconnex, Canva, and Mailchimp.
- Proficiency in Google Suite, Adobe; experience with database management programs.
- Experience in Financial database systems.
- Candidates must be very detail oriented with strong written and verbal communications skills.
- Excellent editing and proofreading skills.
- Ability to maintain confidentiality is essential.
- Current and valid U.S. Driver's license, annual clearance to drive University Vehicle and MVR check.
