We are seeking a proactive Office Operations Coordinator to ensure seamless operations across all departments and support the implementation and execution of company policies, procedures, and cross-departmental collaboration.JOB DESCRIPTION:The Office Operations Coordinator plays an important role in ensuring smooth and efficient office operations by providing comprehensive support across various functions. This role involves managing and updating policies and procedures to ensure they are current, secure, and aligned with the company's operational goals. You will coordinate daily office activities while offering hands-on support to our advisors, ensuring they have what they need to succeed. The ideal candidate will bring strong project management skills, technical expertise, and a proactive problem-solving approach to a fast-paced real estate environment.KEY RESPONSIBILITIES:
    • Front Office Coordination: Welcome & receive visitors, coordinate service appointments, receive packages, track and order all office/kitchen supplies, maintain printers and ensure printer stations are stocked and operating.
    • General Office Support: Maintain and update policies and procedure manuals, HR templates, documents, and use agreements. Coordinate conference rooms and maintain shared spaces.
    • Project Coordination: Coordinate Invites and the calendar for training, events, and building visits. Coordinate annual projects/training and file all documents.
    • IT Support: Support the technology coordinator with the set up of workstations, support tickets, and troubleshooting computer and equipment issues and requests with Advisors.
    • Event Planning: Assist with planning meetings/events and support technology with monthly company meetings.
    • Policy / Procedure Coordination: Identify opportunities to automate workflows and improve operational efficiency through technology. Maintain and update the office operations manual.
REQUIRED SKILLS:
    • Communication: Excellent verbal and written communication skills, with the ability to explain technical concepts to non-technical users and provide clear updates to stakeholders.
    • Project Coordination: Proven experience coordinating projects from start to finish, with strong organizational and communication skills.
    • Problem Solving & Adaptability: Strong ability to troubleshoot issues in a fast-paced environment, adapting to changing priorities.
    • Technical Support & Troubleshooting: Expertise in IT support, resolving technical issues across various systems and platforms.
QUALIFICATIONS:
    • Bachelor's degree in business, operations, or a related field (or equivalent experience).1-2 years of experience in office operations or similar roles.
    • Experience working in real estate or a similar industry is a plus.
    • Strong organizational, multitasking, and proactive problem-solving skills.
