And so much more!General SummaryThe Office Services Administrator is an energetic and enthusiastic key contributor in managing company visitors, events, and campus building support. The customer-focused and detail-oriented Office Services Administrator will collaborate with cross-functional teams in the planning, coordination, and execution of company events, including employee lunches and activities, conferences, and meetings, as well as other administrative office duties such as greeting visitors, entering visitors into the online visitor check-in system, sorting mail and other duties as assigned.Responsibilities
- Visitor reception and management
- Manage lobby entrance cameras and visitor check-in system for all buildings.
- Review required forms and visual compliance for all building visitors.
- Sort incoming mail and stamp outgoing mail.
- Customer, supplier, and internal meeting room(s) coordination
- Assist with booking meetings and setting up meeting room(s) with supplies as needed.
- Ordering, maintaining, and organizing supplies for meetings, such as paper products, snacks, beverages, etc.
- Catering and supply coordination
- Placing, delivery, and setup of catering orders and/or external pickup, delivery, and setup of catering orders to meeting rooms
- Scheduling Facilities for pre and post-meeting (s) cleanings
- Travel between multiple facilities in Newburyport and Portsmouth, NH to conduct above
- Assist with coordination, promotions, and programs of company-wide employee events
- Assist with lobby and cafeteria display communications, PowerPoints, etc.
- Additional administrative duties that include, but are not limited to, support of Executive, Human Resources, and Facility Departments
- Travel and purchase supplies at stores as needed.
- Other duties as assigned.
Qualifications
- College degree required
- 1 year of experience conducting administrative or event planning duties
- Must have a valid driver's license.
- Strong time management and detailed focus ability
- Must demonstrate enthusiasm for creating a pleasant experience.
- Excellent interpersonal skills, ability to work well with all levels and independently.
- Strong organizational skills, accuracy, and attention to detail
- Maintain a high level of professionalism among staff, customers, and suppliers.
- Experience with Microsoft Word, Excel, and PowerPoint
- Ability to use good judgment and discretion.
- Ability to maintain confidentiality.
